Job Description

We are seeking a proactive and organized Admin Executive (1-2 years experience) to join our team and provide administrative support to various departments within the company. The ideal candidate will be responsible for managing office operations, coordinating administrative tasks, and assisting with day-to-day activities to ensure smooth business operations.

Key Responsibilities:

  1. Manage and maintain office facilities, including office supplies, equipment, and inventory.
  2. Handle incoming and outgoing correspondence, emails, and calls, and redirect them as necessary.
  3. Coordinate meetings, appointments, and travel arrangements for senior management and other team members.
  4. Assist in preparing and organizing company events, conferences, and workshops.
  5. Maintain and update employee records, databases, and filing systems in compliance with company policies and regulations.
  6. Assist in the recruitment process by scheduling interviews, coordinating candidate communication, and organizing candidate documentation.
  7. Support HR activities such as onboarding, orientation, and training programs for new hires.
  8. Assist in preparing reports, presentations, and other documentation as required by management.
  9. Handle administrative tasks related to finance, including processing invoices, expense reports, and purchase orders.
  10. Collaborate with other departments to ensure effective communication and coordination of administrative activities.

Qualifications

Qualifications:

  • Bachelor's degree in Business Administration, Office Management, or a related field.
  • Proven experience as an Admin Executive, Administrative Assistant, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Excellent organizational and multitasking abilities with attention to detail.
  • Strong communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
  • Ability to work independently with minimal supervision and as part of a team.
  • Prior experience in handling administrative tasks in a fast-paced environment is preferred.
