Administrative Support:

Manage and maintain the executive's schedule, appointments, and travel arrangements.Organize and coordinate meetings, conferences, and teleconferences.Manage, organize, and update relevant data using database applications.

Communication:

Act as the first point of contact: dealing with correspondence and phone calls.Manage diaries and organize meetings and appointments, often controlling access to the manager/executive.Produce reports, presentations, and briefs.

Document Management:

Draft, format, and print relevant documents.Prepare and edit correspondence, communications, presentations and other documents.File and retrieve documents and reference materials.

Financial Management:

Assist with budget preparation.Process invoices and track expenses.

Confidentiality:

Handle sensitive and confidential matters like contract negotiations or dealing with employee issues.Protect the privacy and security of company records and information.

Liaison:

Liaise with internal staff at all levels.Interact with external clients and stakeholders.

Qualifications:

Proven experience as a personal secretary or similar administrative role. Proficient in MS Office and “back-office” software (e.g., ERP). In-depth knowledge of office management and basic accounting procedures. Excellent organizational and time-management skills. Outstanding communication and negotiation abilities. Integrity and confidentiality.

Education:

Bachelor's degree in Business Administration or relevant field is preferred.
