Weare looking for a Receptionist to manage our front desk on a dailybasis and to perform a variety of administrative and clericaltasks.

What does a Receptionist do

As a Receptionist you will be the first point of contactfor our company. Our Receptionist’s duties includeoffering administrative support across the organization. You willwelcome guests and greet people who visit the business. You willalso coordinate frontdesk activities including distributingcorrespondence and redirecting phone calls.

Tobe successful as a Receptionist you should have a pleasantpersonality as this is also a customer service role. You shouldalso be able to deal with emergencies in a timely and effectivemanner while streamlining office operations. Multitasking andstress management skills are essential for this position. This rolemay require working in shifts so flexibility is a plus.

Ultimately a Receptionist’s duties andresponsibilities are to ensure the front desk welcomes guestspositively and executes all administrative tasks to the highestquality standards.

Responsibilities
  • Greet and welcome guests as soon as theyarrive at the office
  • Direct visitors to theappropriate person and office
  • The answerscreen and forward incoming phone calls
  • Ensurereception area is tidy and presentable with all necessarystationery and material (e.g. pens forms and brochures)
  • Provide basic and accurate information inperson and viaphone/email
  • Receive sort and distribute dailymail/deliveries
  • Maintain office security byfollowing safety procedures and controlling access via thereception desk (monitor logbook issue visitor badges)
  • Order front office supplies and keep an inventory ofstock
  • Update calendars and schedulemeetings
  • Arrange travel and accommodations andprepare vouchers
  • Keep updated records ofoffice expenses and costs
  • Perform otherclerical receptionist duties such as filing photocopyingtranscribing and faxing
Requirements
  • Proven workexperience as a Receptionist Front Office Representative or similarrole
  • Proficiency in Microsoft OfficeSuite
  • Handson experience with office equipment(e.g. fax machines and printers)
  • Professionalattitude and appearance
  • Solid written andverbal communication skills
  • Ability to beresourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and timemanagement skills with the abilityto prioritize tasks
  • Customer serviceattitude
  • High school degree; additionalcertification in Office Management is a plus
