Job Description:

We are seeking a proactive and organized Office Operations Manager to join our team in Mohali. The Admin Officer will be responsible for managing overall office administration, including but not limited to dealing with local vendor partners, coordinating with the finance department and handling statutory returns in coordination with finance department. 

Responsibilities:

Manage and coordinate all administrative functions of the office. Oversee the maintenance of office facilities and equipment, ensuring they are in good working condition. Oversee and manage the housekeeping staff. Ensure smooth day-to-day operations of the office including supporting employees, plan arrangements for guests, support travel arrangements for cabs, flights etc. Handle office communications, including phone calls, emails, and correspondence related to office administration. Identify, evaluate, and select local vendor partners for office supplies, maintenance, and other services. Negotiate contracts and agreements with vendors to ensure cost-effectiveness and quality of services(Maintain /Manage and track). Liaise with local vendor partners for office supplies, maintenance, and other services. Coordinate with the finance department for POs, invoices, and other financial documentation. Coordinate with vendors to ensure timely delivery of goods and services. Support in processing and tracking PO, invoices, expenses, and reimbursements related to office administration and work closely with finance team for statutory returns. Maintain and update office maintenance records, including employee administration related records and follow office administration procedure and policies. Ensure that the office complies with health, safety and office security regulations. Implement measures to promote a safe and healthy work environment. Collaborate with other team members to ensure smooth coordination of activities. Support and assist other team members as needed. Identify areas for improvement in office operations and implement measures to enhance efficiency and productivity. Seek feedback from employees and stakeholders to improve administrative processes. Maintain accurate records and documentation for all administrative activities. Provide administrative support to the management team as required. Coordination with remote teams and stakeholders to ensure smooth operation Responsible for Manage accommodation & local transport and domestic/international travel for employees and guests.

By effectively managing and coordinating these administrative functions, the Admin Officer plays a crucial role in ensuring the smooth functioning of the office and supporting the overall success of the organization.

Requirements:

Bachelor’s degree in business administration or related field. Proven experience in office administration or a similar role. Knowledge of finance documentation and procedures. Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Proficiency in MS Office and other relevant software. Understanding and sound knowledge of HVAC , Electrical and office access and security
