About the Role
MEICON is seeking an experienced Global HR Services Specialist to support employee onboarding, HR administration, employment documentation, compliance coordination, and employee lifecycle management across international business operations. This role is pivotal in delivering a seamless and efficient employee experience through accurate HRIS processing, timely service delivery, and effective coordination with internal teams and business stakeholders. The position requires excellent organizational skills, attention to detail, strong English communication, and the ability to independently coordinate HR processes with geographically distributed stakeholders.

Key Responsibilities
Employee Onboarding & Lifecycle Management
• Manage end-to-end onboarding activities for new hires, ensuring a seamless and positive joining experience.
• Coordinate with Talent Acquisition, IT, Administration, Security, and business stakeholders to ensure timely completion of pre-joining and joining formalities.
• Initiate and track pre-employment documentation, background verification, employment eligibility checks, and other compliance requirements in accordance with applicable regional regulations and company policies.
• Prepare, collect, review, and maintain employment agreements, onboarding forms, employee declarations, statutory forms, and other required employment documentation.
• Ensure accurate creation and maintenance of employee records in HR systems, including personal details, employment information, reporting structures, and applicable statutory data.
• Coordinate employee orientation, induction schedules, system access, asset allocation, and mandatory training requirements.
• Act as the primary point of contact for new-hire inquiries during the onboarding phase, providing timely resolution or escalation where required.
• Monitor onboarding milestones and ensure timely completion of documentation, approvals, system access, and joining formalities.
• Support employee transfers, employment changes, and offboarding activities throughout the employee lifecycle. Global HR Operations & Shared Services
• Provide day-to-day HR operational and administrative support to employees, managers, and business stakeholders across international locations.
• Support HR processes and employee documentation requirements for operations across the U.
S., EMEA, Australia, and other applicable markets.
• Maintain accurate employee records, personnel files, HR databases, and digital documentation systems.
• Process employee information updates, employment status changes, and HR service requests in accordance with established procedures.
• Coordinate employee information required for payroll processing, benefits enrollment, employment verification, and other HR activities.
• Ensure timely resolution of HR administrative requests while maintaining defined service standards.
• Collaborate with regional HR teams and cross-functional stakeholders to ensure consistent execution of HR processes.
• Support standardization of HR workflows, templates, and administrative procedures across international operations. Employment Documentation, Compliance & Audit Support
• Maintain complete and accurate employee documentation in accordance with organizational policies and applicable employment requirements.
• Coordinate collection and validation of employment eligibility documentation, statutory forms, policy acknowledgments, and other required records.
• Support region-specific onboarding documentation, including U.
S. Form I-9, W-4, employment eligibility verification, and equivalent employment documentation processes applicable across EMEA and Australia.
• Coordinate background verification, pre-employment screening, and documentation reviews in accordance with regional requirements.
• Track employee certifications, professional licenses, mandatory training, and documentation expiration dates where applicable.
• Maintain compliance checklists and follow up on outstanding employee documentation and approvals.
• Support internal audits, employee file reviews, and compliance reporting by ensuring appropriate documentation and supporting records are readily available.
• Maintain confidentiality and ensure appropriate handling of sensitive employee information in accordance with applicable data privacy requirements.
• Identify documentation discrepancies, compliance gaps, and process risks, escalating matters to relevant stakeholders as required. HRIS, Reporting & Data Management
• Maintain and update employee information within HRIS platforms and digital employee record systems.
• Validate employee data for accuracy and completeness to support payroll inputs, statutory compliance, benefits administration, and management reporting.
• Develop and maintain onboarding trackers, HR dashboards, employee status reports, and documentation registers.
• Monitor onboarding milestones, pending approvals, outstanding documentation, and service delivery timelines.
• Prepare periodic HR operational reports and provide updates to regional and global stakeholders.
• Support HR system improvements, process automation, and digital document-management initiatives.
• Ensure consistency, accuracy, and timely processing of employee information across HR systems. Process Improvement & Stakeholder Coordination
• Identify opportunities to improve onboarding efficiency, employee experience, documentation quality, and HR service delivery.
• Develop and maintain standardized HR checklists, templates, standard operating procedures (SOPs), and process documentation.
• Coordinate with Talent Acquisition and business teams to ensure smooth transitions from candidate selection to employee onboarding.
• Support implementation of HR process improvements and operational best practices.
• Maintain proactive communication with stakeholders to address process gaps, resolve outstanding actions, and ensure timely completion of HR activities.
• Support continuous improvement initiatives focused on process standardization, data accuracy, and first-time-right processing. Required Qualifications
• Bachelor's or master's degree in Human Resources, Business Administration, Management, or a related field.
• Minimum of three years of experience in international HR operations, employee onboarding, or HR administration, preferably supporting organizations across the U.
S., EMEA, and Australia.
• Hands-on experience managing employee onboarding, employment documentation, and HR administrative processes for international business operations.
• Working knowledge of regional employment documentation and onboarding requirements, including U.
S. Form I-9, W-4, employment eligibility verification, and equivalent employment documentation and compliance processes across EMEA and Australia.
• Experience coordinating background checks, pre-employment screening, employee documentation, and onboarding workflows.
• Familiarity with HRIS platforms, employee databases, and digital document-management systems.
• Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
• Excellent written and verbal English communication skills.
• Strong organizational, analytical, and problem-solving abilities.
• High attention to detail and ability to maintain accurate employee records.
• Ability to independently manage multiple onboarding cases, prioritize tasks, and meet service-level targets.
• Ability to coordinate effectively with international HR teams and business stakeholders across different time zones.
• Professional approach to handling confidential employee information. Preferred Qualifications
• Experience working within a multinational organization, Global Capability Center (GCC), or global HR shared-services environment.
• Prior HR experience with construction companies, engineering firms, infrastructure consultancies, or professional services organizations.
• Experience supporting employee onboarding and HR operations for organizations with operations across the U.
S., EMEA, Australia, or other international markets.
• Familiarity with regional employment compliance requirements, statutory documentation, and employee verification procedures.
• Experience using HRIS platforms such as Workday, Oracle HCM, SAP SuccessFactors, ADP, Paycom, Rippling, or similar systems.
• Exposure to payroll coordination, benefits administration, employee record management, and employment verification processes.
• Familiarity with construction or engineering industry employee certifications, safety training records, and project-specific compliance documentation.
• Experience preparing HR dashboards, compliance trackers, and operational performance reports.
