Position Overview

The Billing Executive will be responsible for accurate and timely preparation of client invoices, handling billing-related queries, maintaining supporting documentation, and preparing MIS reports. The role requires coordination with vendors, attention to detail, and effective client communication to ensure smooth billing operations.

Key Responsibilities:

  • Prepare accurate client invoices based on the agreed-upon rate card, supported by verified duty slips and trip sheets. Distribute invoices to clients in both soft and hard copies as required.
  • Meticulously verify and audit all supporting documents for accuracy and completeness.
  • Proactively coordinate with vendors to resolve discrepancies and obtain necessary clarifications on documentation.
  • Maintain well-organized and complete billing records to ensure readiness for all internal and external audits and reviews.
  • Prepare, update, and manage detailed MIS reports for billing and collections activities.
  • Ensure the timely submission of all reports to both management and clients.
  • Serve as the primary point of contact for addressing and resolving all client billing inquiries promptly.
  • Provide clear clarifications on invoices and outstanding payments, maintaining smooth and proactive communication regarding billing status.

Requirements:


• Bachelor's degree in Commerce, Accounting, Finance, or related field.


• Minimum 3 years of experience required in billing, accounts, or finance (transportation/logistics sector preferred).


• Strong knowledge of invoicing, rate cards, and reconciliation processes.


• Proficiency in MS Excel is mandatory. Knowledge of billing/accounting software (such as Tally, SAP, Zoho, QuickBooks, or other ERP systems) will be an added advantage.


• Good communication and coordination skills.


• Strong attention to detail and problem-solving ability.
