Job Overview
We are looking for a detail-oriented and organized Purchasing Executive to support the procurement process by coordinating vendor quotations, preparing purchase orders, and processing vendor invoices. The role focuses on system-based procurement activities, requiring strong documentation skills and effective coordination with internal teams and clients. It plays a key part in ensuring timely and cost-effective procurement of goods and services while maintaining compliance with established procedures.

Key Responsibilities

  • Coordinate with vendors to request and collect quotations based on internal purchase requisitions.
  • Compile and organize received quotations to support internal evaluation and approval processes.
  • Prepare and issue purchase orders (POs) in accordance with company guidelines and ensure proper documentation.
  • Maintain a clear and systematic record of all procurement activities, including quotations, POs, and vendor communications.
  • Collaborate with internal departments to ensure procurement requests and related documentation are processed promptly.
  • Process vendor invoices by verifying them against corresponding POs and supporting documents.
  • Coordinate with the finance/accounts team to ensure timely submission and payment of vendor invoices.
  • Assist in maintaining accurate vendor information and master data within the system.
  • Support compliance with internal procurement and financial policies.

Qualifications

  • Bachelor's degree in any field.
  • Experience in procurement, preferably with Procurify or similar software.
  • Strong communication, and organizational skills.
  • Analytical mindset with proficiency in Excel.
