Assistant Controller of EXamnimation

PSGRKCW invites applications for the position of Assistant Controller of Examinations (Assistant COE). The role demands a dedicated academic administrator who will assist the Controller of Examinations (COE) in planning, supervising, and executing all examination-related processes with transparency, accuracy, and efficiency.
Key Responsibilities:
1. Examination Committee & Supervision
- Active membership in the Examination Committee.
- Supervise the Technical Assistant of COE (TACOE) and monitor examination-related office operations.
2. Pre-Examination
- Preparation of Examination Schedules and Examination Calendar in consultation with the COE.
- Coordinate with academic coordinators to ensure accuracy of syllabus and scheme for all programs.
- Oversee Arrear course registration and verification of completion.
- Verify exam fees, application, and statement of marks in ERP.
- Ensure accuracy of Nominal Roll for fee payment.
- Schedule and verify Examination Registration by students.
- Define and verify evaluation patterns, question paper codes, and mark entry schedules in ERP.
- Update examiner database (question paper setters, evaluators, viva voce examiners).
- Appointment of Question Paper Setters.
- Appointment of Examiners for Central Valuation.
- Appointment of Invigilators.
- Ensure safe custody of question papers.
3. During Examination
- Oversee smooth conduct of examinations.
- Monitor receipt of answer booklets from Chief Superintendent.
- Schedule valuation process, mark entry, and bundling of answer scripts.
- Appoint staff for mark entry and support evaluation.
- Re-appoint examiners if required and address ERP-related issues.
- Collect feedback from examiners, invigilators, and students.
- Monitor scrutiny of question papers.
4. Post Examination
- Oversee result processing and publication.
- Schedule photocopy, re-totaling, revaluation, and supplementary exams.
- Manage mark sheet printing, verification, and dispatch.
- Prepare data for degree recommendation to the University.
- Verify provisional certificates received from the University.
- Process claims of examiners, evaluators, and setters.
- Conduct stock checks and place orders.
5. Support to COE
- Assist in budget preparation, identification of question paper setters, examiners, and all examination-related implementations.
6. National Academic Depository – DigiLocker
- Upload credentials of students to DigiLocker.
- Manage APPAR ID creation, EMIS updates, ERP verification, and data upload.
- Resolve issues in DigiLocker with faculty/student coordination.
- Ensure verification of student credentials at multiple levels with utmost care.
Qualifications
- Ph.D. in any stream (Mandatory).
- Minimum 5–7 years of experience in examination systems/academic administration at a reputed college/university.
- Proficiency in ERP/Examination Management Systems and MS Office.
- Strong organizational, leadership, and data management skills.
- High ethical standards, integrity, and ability to maintain confidentiality.
