The Personal Assistant (PA) to the Chancellor provides high-level administrative, secretarial, and organizational support to the Chancellor, ensuring the smooth functioning of day-to-day activities, efficient time management, and effective coordination of official engagements. This role requires professionalism, discretion, excellent communication skills, and the ability to manage multiple priorities in a dynamic environment.
Key Responsibilities:
1. Administrative & Secretarial Support
- Manage and maintain the Chancellor's calendar, appointments, and travel itineraries.
- Schedule meetings, prepare agendas, and coordinate logistics.
- Handle confidential correspondence, emails, and phone calls with discretion.
- Draft, edit, and proofread official documents, reports, and presentations.
- Maintain organized electronic and physical filing systems.
2. Communication & Coordination
- Ensure timely communication and follow-up on delegated tasks and commitments.
- Manage invitations, public appearances, and event participation for the Chancellor.
3. Event & Meeting Management
- Organize and coordinate official meetings, conferences, and university events.
- Take minutes of meetings and ensure timely circulation and action follow-ups.
4. Office & Travel Management
- Manage expenses, reimbursements, and travel claims in compliance with institutional policies.
- Oversee office supplies, documentation, and support staff activities related to the Chancellor's office.
5. Confidentiality & Professional Conduct
- Maintain the highest level of integrity and confidentiality in handling sensitive information.
- Represent the Chancellor's office in a professional and courteous manner.
Job Type: Full-time
Pay: ₹10, ₹30,000.00 per month
