Role & responsibilities
- Manage and control all incoming and outgoing documents for Water Services projects.
- Maintain a structured document control system (electronic and paper-based).
- Ensure proper document classification, sorting, filing, and archiving in accordance with company procedures.
- Receive, log, and distribute technical documents such as drawings, blueprints, specifications, RFIs, submittals, and contracts.
- Coordinate with project teams, subcontractors, engineers, and consultants to ensure document compliance and timely distribution.
- Regularly update and maintain document registers, logs, and tracking systems.
- Monitor document revisions and ensure only the latest versions are available and used.
- Ensure confidentiality and security of sensitive project documents.
- Assist in audits and provide required documentation on request.
- Train staff on document control procedures, if required.
- Prepare progress reports, dashboards, and other planning-related documentation.
- Ensure compliance with company procedures and industry standards in planning and reporting.
- Contributing to ensuring a safe working environment for all staff.
- Maintaining a positive and solution-oriented approach to work, providing open and honest feedback.
- Being aware of the need to satisfy customer requirements with the aim of enhancing the customers perception and satisfaction.
- Taking all reasonable steps to ensure appropriate confidentiality.
Attributes
- Bachelor's degree in construction management, business administration, or related field preferred or any other degree, specialized training, or experience, that makes the individual qualified to perform the job responsibilities.
- Proven experience minimum 23 years of document control experience in the construction industry.
- Strong knowledge of document control systems (e.g., Aconex, Procore, SharePoint, ProjectWise etc.).
- Familiarity with construction processes, terminology, and documentation.
- Experience working on large-scale commercial or infrastructure projects.
- Knowledge of ISO standards and quality management systems.
- Excellent organizational and time-management skills.
- Attention to detail and accuracy.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of delay analysis techniques and risk management is an advantage.
- Good written and verbal communication skills and able to work as part of a team.
