Back Office Executive

Experience: 3 years | CTC Range: 3.00 to 3.25 Lacs
Work Responsibilities
- Advocate Billing Tasks
Maintain a record of all invoices received from advocates/law firms via email
or in physical form.
Track invoices received by email and / or in physical form.
Coordinate with internal teams to ensure receipt of hard copies from
advocates/law firms.
Handle the Purchase Orders (POs) creation and related Service Entries for all
advocates/law firms, including government vendors.
Prepare Down Payment Requests (DPR) for advance payments.
Regularly follow up with the accounts team to ensure payments are made on
time.
Share payment details (including bank UTR numbers) with advocates/law
firms once payments are processed.
- Physical Filing and Record Keeping
File all physical documents in the appropriate case files regularly.
Retrieve and provide files as needed, such as for court hearings or document
inspections.
Handle the dispatch of all outgoing physical documents.
- Outgoing Coordination Work
Manage notarization of documents.
Assist with IMC-related tasks as required.
Visit advocate/law firm offices to collect or deliver documents when
necessary.
These responsibilities involve regular external visits and the handling of
physical records and documents.
- Miscellaneous Tasks
Scan and record incoming documents in the appropriate case files.
Record all outgoing documents in the "Dispatch Register."
Track and save Proof of Delivery (POD) for dispatched couriers in the relevant
case folders.
Combine multiple documents into single PDF files using Adobe Acrobat DC.
