Events Marketing Specialist (Philippines-Based)

Overview

Vaco is looking for a detail-oriented Events Marketing Specialist to support our global events program. This role will provide essential tactical and administrative support for our conferences,

webinars, roundtables, client events, and community activations. Youll work closely with the Director of Channel Marketing and the Events Marketing Manager to help execute events end-to-end, ensuring our

programs run smoothly, on time, and on brand.This is an exciting opportunity to join a fast-moving, global marketing team where youll gain exposure to large-scale conferences, executive dinners, webinars, and local field events.

Key Responsibilities

  • Event Coordination & Execution
  • Assist in the planning and execution of virtual, in-person, and hybrid events (conferences,
  • webinars, client dinners, CPEs), including moderating webinars.
  • Manage logistics such as attendee registration, email confirmations, and reminders through
  • platforms like Splash, HubSpot, ON24.
  • Support onsite coordination for major events (booth setup materials, shipping, collateral prep,
  • swag management).
  • Track deadlines and deliverables across event timelines, ensuring nothing falls through the cracks.

Marketing & Promotion Support

  • Coordinate with content and copy teams for webpages, registration pages, email templates, social posts.
  • Coordinate with design teams to request graphics, signage, and collateral.
  • Ensure brand consistency across all promotional materials.

Data & Reporting

  • Assistance with maintaining the global events calendar (Excel/SharePoint/Monday).
  • Track event registrations, attendance, and feedback surveys.
  • Support post-event reporting, consolidating leads and engagement.
  • Assist in ROI reporting by updating tracking sheets and campaign dashboards.

Administration & Team Support

  • Manage event inboxes and respond to attendee inquiries.
  • Handle vendor coordination (swag suppliers, venues, caterers) under manager guidance.
  • Maintain organized files, processes, and templates for repeatable event execution.

Qualifications

  • 2-4 years of experience in marketing, events, or project coordination (agency, BPO, or in-house).
  • Strong organizational skills with the ability to manage multiple projects at once.
  • Proficiency in Microsoft Excel/Google Sheets; familiarity with HubSpot, ON24, or event platforms (preferred but not required).
  • Excellent written and verbal communication skills in English.
  • Comfortable working in a fast-paced, global team with overlapping US/Philippines hours.
