JOB DESCRIPTION – MRD TECHNICIAN

Department: Medical Records Department (MRD)

Designation: MRD Technician

Reports to: MRD In-Charge / Hospital Administrator

JOB SUMMARY

The MRD Technician is responsible for maintaining, organizing, and safeguarding patients' medical records in compliance with hospital policies, accreditation standards, and legal requirements. The role ensures accuracy, confidentiality, and timely retrieval of medical documents for clinical and administrative purposes.

DUTIES AND RESPONSIBILITIES

  • Record Management
  • Collect, compile, and file inpatient and outpatient records accurately.
  • Maintain proper indexing, coding, and numbering of medical records.
  • Ensure completeness of medical records before filing (discharge summaries, reports, consent forms, etc.).
  • Maintain physical and digital filing systems in a secure and organized manner.
  • Data Entry and Coding
  • Enter patient details and treatment data into hospital software systems.
  • Assign and verify ICD codes for diagnosis and procedures as per standard classification systems.
  • Generate statistical and analytical reports from patient records when required.
  • Record Retrieval and Issuance
  • Retrieve and issue medical records promptly upon authorized requests from doctors, administrative staff, or patients.
  • Maintain a log of all records issued and returned.
  • Support medico-legal case documentation and ensure timely submission of records.
  • Confidentiality and Compliance
  • Maintain strict confidentiality of patient information.
  • Adhere to hospital policies, legal, and accreditation standards regarding medical record handling.
  • Participate in audits and assist in implementing corrective actions.
  • Quality and Maintenance
  • Assist in scanning and digitization of old records for electronic storage.
  • Ensure the integrity and preservation of both physical and digital records.
  • Participate in MRD-related quality initiatives and training programs.
  • Coordination and Support
  • Coordinate with nursing, billing, and clinical departments to ensure timely receipt of discharge summaries and reports.
  • Support the MRD In-Charge in compiling monthly and annual reports.
  • Handle requests from external agencies (insurance, government bodies, etc.) under proper authorization.

QUALIFICATION AND EXPERIENCE

  • Education: Diploma / Degree in Medical Record Technology or Health Information Management.
  • Experience: 1–3 years of experience in MRD operations in a hospital setup (Freshers with relevant qualifications may also apply).
  • Knowledge: Familiarity with ICD coding, hospital information systems, and data confidentiality standards.

SKILLS AND COMPETENCIES

  • Strong organizational and documentation skills.
  • Attention to detail and accuracy.
  • Good communication and coordination skills.
  • Computer proficiency (MS Office, EMR/HIS software).
  • Ethical handling of confidential medical information.

WORKING HOURS

As per hospital policy / Shift-based as assigned.
