Job Summary

We are seeking a highly proficient, dynamic, and discreet Personal Secretary to provide comprehensive administrative and secretarial support to the Honorable Chancellor. The ideal candidate will be the primary point of contact for the Chancellor's office, managing a wide range of executive-level tasks with the utmost professionalism and confidentiality. Exceptional fluency in English and Telugu is fundamental to this role, with a strong command of Hindi being a significant advantage.

Key Responsibilities

  • Executive Support & Calendar Management:
  • Manage the Chancellor's complex and dynamic calendar, including scheduling appointments, meetings, and travel itineraries.
  • Act as the first point of contact, screening phone calls, emails, and visitors with tact and discretion.
  • Prepare and organize agendas, presentations, and briefing documents for meetings.
  • Communication & Correspondence:
  • Draft, proofread, and edit high-quality business correspondence, emails, reports, and speeches in flawless English.
  • Accurately transcribe dictations and minutes of meetings.
  • Liaise effectively with internal departments, external stakeholders, and high-level dignitaries on behalf of the Chancellor.
  • Documentation & Record Keeping:
  • Maintain an efficient filing and documentation system (both electronic and physical) for the Chancellor's office.
  • Handle confidential and sensitive information with the highest level of integrity.
  • Meeting & Event Coordination:
  • Coordinate and logistically arrange high-level meetings, including board meetings and university events.
  • Attend meetings, take precise minutes, and track follow-up actions.
  • Liaison & Representation:
  • Serve as a key liaison for the Chancellor, representing the office with professionalism and poise.
  • Facilitate smooth communication between the Chancellor's office and other university departments.

Required Qualifications & Skills

  • Education: Bachelor's degree is mandatory. A Master's degree or a diploma in Secretarial Practice/Office Management will be preferred.
  • Experience: Minimum of 5-7 years of proven experience as a Personal Secretary, Executive Assistant, or similar role supporting C-level executives or prominent individuals.
  • Language Proficiency (Non-Negotiable):
  • English: Exceptional and flaring command, both written and verbal, with the ability to draft sophisticated correspondence.
  • Telugu: Excellent and mandatory communication skills, with full fluency in speaking, reading, and writing.
  • Hindi: Highly desirable and preferred, with strong conversational and comprehension abilities.
  • Technical Skills:
  • Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Expertise in managing video conferencing tools (Zoom, MS Teams, etc.).
  • Personal Attributes:
  • Impeccable integrity and ability to maintain absolute confidentiality.
  • Exceptional organizational and time-management skills.
  • Proactive, resourceful, and able to work effectively under pressure.
  • Strong interpersonal skills, with a polished and professional demeanor.
