Admin & Finance Executive (Remote) - Medical Devices & Equipment

Role & responsibilities

Accounts Receivable (AR):

  • Generate and send invoices to customers
  • Follow up on payments and manage receivables aging

  • Reconcile customer accounts

  • Accounts Payable (AP):

  • Process supplier invoices and ensure timely payments

  • Maintain records of purchase orders and vendor agreements

  • Reconcile vendor accounts and resolve discrepancies

  • Invoicing & Documentation:

  • Issue sales invoices in compliance with tax and client requirements

  • Maintain digital records of invoices, receipts, and other financial documents

  • Assist in monthly closing and reporting tasks

  • Quotations & Purchase Orders:

  • Prepare and manage customer quotations and pricing sheets

  • Create and track purchase orders from request to fulfilment

  • Coordinate with suppliers and internal teams for order follow-ups

  • Administrative Support:

  • Maintain records, contracts, and internal documents

  • Liaise with external stakeholders (suppliers, service providers, logistics)

Preferred candidate profile

  • Minimum 5 years of experience in Finance/Admin roles, preferably with exposure to international clients
  • Strong understanding of AR/AP processes, invoicing, and purchase workflows
  • Proficient in MS Office and any commonly used accounting or ERP software
  • Fluent in English (spoken and written)
  • Highly organized, detail-oriented, and proactive
  • Must have a stable internet connection and dedicated work setup for remote work
  • Prior experience working with an international client is a plus
  • Experience in medical or healthcare industry is advantageous but not mandatory
