About the Role

We are seeking a detail-oriented and experienced
Document Controller
to manage project documentation and support data integrity using
Aconex
. The ideal candidate will be based in the UAE, bring a strong track record of document control practices, and contribute to the smooth delivery of our projects.

Key Responsibilities

  • Maintain, organise, and control all project documentation using Aconex — including drawings, specifications, transmittals, correspondence, and records.
  • Implement document control procedures and workflows to ensure proper version control, access permissions, and traceability.
  • Coordinate with project teams, subcontractors and stakeholders to collect, verify, and distribute documentation as required.
  • Ensure documents are properly logged, archived and retrievable — both electronically and, where applicable, physically.
  • Monitor document status, follow up on pending items, and report on documentation progress.
  • Support audit readiness by preparing documentation packages, complying with company and client record-keeping standards.
  • Assist with documentation control during project close-out, ensuring completeness, compliance, and handover readiness.

Required Qualifications & Attributes

  • Minimum
    5 years of proven experience
    working as a Document Controller,
    with hands-on experience in Aconex
    .
  • Prior experience in a construction, engineering, oil & gas or project-based environment is desirable.
  • Strong knowledge of documentation standards, version control, transmittal procedures, and formal document workflows.
  • Excellent attention to detail, organizational skills, and ability to manage multiple document streams concurrently.
  • Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable working with electronic document management systems (EDMS).
  • Strong communication skills — able to liaise with multiple stakeholders and coordinate documentation effectively.
  • UAE-based, with valid legal authorization to work in the UAE.
  • Ability to work independently and as part of a multidisciplinary team under tight deadlines.
