Position Overview:

We are looking for a highly organized and proactive Export Logistics Coordinator to manage and execute export shipping activities efficiently. The role involves coordinating with various stakeholders to ensure timely dispatch and delivery of export shipments, handling end-to-end documentation, and ensuring compliance with international trade regulations. The ideal candidate should have prior experience in export logistics and understanding of shipping modes, documentation, and coordination with logistics partners.

Key Responsibilities:

  • Shipment Planning & Dispatch:
  • Coordinate and plan the dispatch of export shipments via air, sea, and road.
  • Ensure timely pick-up and delivery based on customer and internal schedules.
  • Documentation Preparation:
  • Prepare and verify all required export documentation including:
  • Commercial Invoice
  • Packing List
  • Certificate of Analysis (COA)
  • Material Safety Data Sheet (MSDS)
  • Certificate of Origin
  • Bill of Lading / Air Waybill (AWB)
  • Ensure documentation accuracy and compliance with destination country requirements.
  • Liaison with Logistics Partners:
  • Communicate with freight forwarders, shipping lines, customs brokers, and CHAs to ensure smooth and timely clearance and shipment.
  • Resolve shipment or clearance-related issues proactively.
  • Shipment Tracking & Updates:
  • Track and monitor shipment status until delivery.
  • Provide timely updates to customers and internal stakeholders.
  • Records Management & Compliance:
  • Maintain accurate and updated records of all export shipments and documentation for internal audits and regulatory compliance.
  • Customer Coordination:
  • Handle customer queries related to shipment schedules, documentation, delivery timelines, and related issues.
  • Ensure a high level of customer satisfaction and service.
  • Internal Coordination:
  • Work closely with internal teams including Sales, Production, and Quality Control to align export requirements.
  • Ensure timely readiness of goods and documentation for dispatch.
  • Cost Optimization:
  • Monitor freight costs and negotiate with shipping carriers or forwarders to obtain competitive rates.
  • Analyze shipping costs for cost-saving opportunities.

Required Skills & Qualifications:

  • 1–2 years of experience in export logistics, shipping coordination, or international trade.
  • Strong understanding of export documentation, customs clearance procedures, and Incoterms.
  • Familiarity with DG Cargo shipping protocols (certification preferred).
  • Proficiency in MS Office (Excel, Word, Outlook) and ERP/logistics systems.
  • Excellent coordination, communication, and problem-solving skills.
  • Ability to work independently and handle multiple tasks under pressure.
