Summary
A leading international education and youth organisation is seeking a high-energy, highly creative Event Manager to lead the design and delivery of flagship global events from international education summits and student fairs to cultural festivals and high-profile receptions featuring senior leaders, universities, creators and students.
This role demands equal parts imagination and precision - someone who can dream up unforgettable experiences, then make them happen with seamless execution.
You'll work across India and the UK (remotely coordinating UK delivery partners), shaping events that blend the energy of a creator summit with the polish of a ministerial conference.

Working Hours
Monday - Friday: 9am - 6pm UK time
Saturday: 10am - 2pm UK time
Key Responsibilities
1. Event Strategy & Creative Design
- Conceptualise and design immersive, high-impact experiences aligned with the organisations global education and youth mission.
- Events spanning international education summits, leadership dialogues, international award gala's to pre-departure student events, festivals and student parties.
- Develop annual and project-specific event calendars
- Create storyboards, themes, and audience journeys for each event ensuring every detail reinforces the brand narrative.
- Collaborate with design and marketing teams to integrate visual identity, digital campaigns, and on-ground experiences seamlessly.
2. Planning, Budgeting & Project Management
- Prepare detailed project plans, budgets, and production timelines; ensure delivery within scope, schedule, and cost.
- Manage vendors, suppliers, and partners from AV and dcor to catering, staging, and tech.
- Oversee contracts, invoicing, and payments with precision.
- Conduct pre-event checks and rehearsals to ensure creative and operational readiness.
3. Vendor, Partner & Stakeholder Coordination
- Serve as the single point of contact for all production partners, agencies, and internal teams.
- Liaise with universities, government bodies, and corporate sponsors to align deliverables and branding requirements.
- Build a trusted network of production and logistics vendors across India and the UK.
- Coordinate remotely with UK venues and suppliers to manage on-ground delivery standards.
4. Event Branding, Storytelling & Promotion
- Work with communications teams to ensure all collateral from invites to stage design reflects a unified visual identity.
- Collaborate on event campaigns, registrations, and social media teasers that capture excitement and drive attendance.
- Curate music, lighting, ambience, and multimedia content to build an emotional and memorable atmosphere.
- Ensure brand partners receive top-tier visibility and audience engagement.
5. Execution & Experience Management
- Own on-ground (or remote) event delivery: run sheets, rehearsals, show-calling, guest management, backstage flow, and protocol.
- Manage production timelines minute-to-minute during live events; anticipate and resolve issues calmly.
- Ensure hospitality, technical setups, and safety standards meet international benchmarks.
- Create wow moments that make each event a case study in experience design.
6. Team Leadership & Coordination
- Lead volunteers and on-ground teams across cities.
- Foster a culture of creativity, accountability, and energy where everyone buys into the vision.
- Coordinate cross-functionally with content, partnerships, and communications teams for integrated execution.
7. Post-Event Reporting & Growth
- Conduct post-event reviews and compile detailed reports including attendance data, sponsor ROI, and media impact.
- Gather feedback from participants and partners; propose improvements for future editions.
- Maintain archives and documentation of event footage, budgets, and processes.
Required Skills & Experience
- 4-10 years of proven experience in event production, experiential marketing, or international education events.
- Strong creative instincts understands modern event aesthetics, youth culture, and brand storytelling. Experienced in delivering high-profile events involving senior leaders, diplomats, and global education stakeholders.
- Track record of managing end-to-end events independently (concept to execution).
- Excellent communication and client-handling skills confident engaging with senior executives and creative teams alike.
- Proficiency in project management tools (Trello, Asana), Excel, Google Workspace, and virtual event platforms.
- Ability to work flexible hours for international coordination and tight event timelines.
