Role Description:

This is a full-time on-site role for an Admin Officer, based in Belgaum, Karnataka. The Admin Officer will oversee daily administrative tasks, including :

Core Responsibilities:

  • Oversee and manage the daily schedules of Office Assistants for both indoor and outdoor duties.
  • Track, manage, and coordinate all incoming and outgoing couriers and parcels.
  • Coordinate with housekeeping staff to ensure a clean, hygienic, and well-maintained workplace.
  • Liaise with the gardener to ensure proper maintenance and upkeep of office plants.
  • Conduct regular checks of all office equipment and ensure proper functioning, including punching machines, fire safety devices, telephone lines, printers, coffee machines, AC units, pantry equipment, server room utilities, and identifying any leakages or issues.
  • Monitor daily activities of drivers and vehicles, including:
  • a) Attendance
  • b) Overtime hours
  • c) Fuel usage
  • d) Vehicle maintenance
  • e) Daily vehicle movement records
  • Manage travel arrangements, hotel bookings, vehicle bookings, and conference/meeting setup requirements.
  • Ensure workplace safety by understanding fire exits, fire extinguisher locations, and basic emergency procedures.
  • Handle any other outdoor administrative tasks as required.

Qualification:

  • Bachelor's degree in any discipline (B.Com / BBA / BA / B.Sc. preferred).
  • Minimum 3
    –6 years of experience
    in administrative or office management roles.
  • Strong knowledge of office operations, facility management, housekeeping coordination, and vendor handling.
  • Basic understanding of travel bookings, vehicle management, and logistics.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and email communication.
  • Good communication skills in English, Hindi, and Kannada.
  • Strong organizational and record-keeping skills.
  • Knowledge of basic safety protocols, fire safety equipment, and emergency procedures will be an added advantage.
  • Valid two-wheeler or four-wheeler driving license (optional but preferred).
