Job Overview: Donor Documentation and Compliance manager will be responsible for end to end donor documentation processes following proposal drafting, budget revisions, documentation, fund utilization reporting, validation of bills & supporting documents, and ensuring alignment between implementing partners (NGOs) and donor expectations. This role is critical to ensuring accurate, timely, and effective documentation management, and will support internal and external stakeholders in maintaining high standards of compliance and accountability

Job Responsibilities:

1. NGO Proposal & Budget Coordination:

  • Share proposal and budget templates with NGO partners.
  • Draft key NGO documents including Project Proposals, Budget Sheets, NGO Due Diligence Documents, Recommendation Letters etc
  • Ensure consistency across all documents with respect to formatting, logos, spell check, and branding guidelines.
  • Track and manage timelines for submission and revisions of proposals and budgets.
  • Revise proposals and budgets based on feedback from internal/external stakeholders.

2. Donor Documentation & Communication:

  • Coordinate with UWM Finance to Inform them about new grants., create and update ERP Grant IDs, Release 80G Receipts, Share receipts with UWM grant manager
  • Keep Grant Manager and relevant team members informed on due diligence and financial matters.
  • Draft and issue MOUs, Grant Request Letters (GRLs), and related documents for both UWM and NGO sign-off.
  • Validate critical information in donor-facing documents Grant amounts, Project name, Final sign-off by Department Head

3. Financial Monitoring & Reporting:

  • Track, Check and report on NGO fund utilization Monthly and Quarterly Bills, Bills Tracker, Utilization Reports (URs), Utilization Certificates (UCs)
  • Consolidate financial data and ensure donor reporting requirements are met.
  • Coordinate and process Project Change Requests (PCRs), Addendums, and Revised Budgets as needed.
  • Update URs and UCs according to any changes made under Addendums.

4. Audit & Compliance Support:

  • Assist the Grant Managers to facilitate coordination between audit teams and implementing partners.
  • Track audit outcomes and action items for continuous improvement.

Profile Requisites:

  • Graduate/Postgraduate in any stream preferably from social sciences background, demonstrable experience in programme implementation, monitoring
  • Ability to meet deadlines and work in teams collaborative
  • Strong coordination skills.
  • Attention to detail with strong documentation and formatting skills.
  • Financial acumen for basic budgeting and fund tracking.
  • Proficiency in MS Office, especially Excel and Word
  • Ability to manage multiple stakeholders and timelines effectively.
  • Understanding of NGO operations and donor compliance.
  • Organised, process oriented and with a diligent mind-set

Remuneration - Subject to relevant qualification, experience & merit; the consultancy fees range is 50000 to 70000 per month
