The Store In-charge will be responsible for managing the entire stores function of the university including receipt, storage, issuance, record-keeping, asset & consumables management, ensuring inventory accuracy, compliance with policies, and supporting campus operations with timely material supply. The role supports the university's aspiration of being efficient, disciplined and enabling smooth functioning of academic and non-academic services.
Key Responsibilities
- Receive incoming goods (stationery, lab consumables, equipment, furniture, maintenance supplies, etc.), verify against purchase orders/invoices, inspect for damage or discrepancies.
- Store and organize materials in the store room/warehouse in a systematic manner, ensuring FIFO/FEFO as applicable.
- Issue materials/consumables to departments as per requisitions, maintain proper documentation (Material Receipt Note, Material Issue Note, etc.).
- Maintain accurate registers/records (bin-cards, stock ledgers, electronic inventory system) of all items in store, both quantity and value.
- Conduct regular physical stock-verification/stock-take exercises; reconcile physical stock with system records and report any variances.
- Monitor minimum/maximum stock levels; trigger procurement requisitions when items approach minimum level; flag excess/obsolete stock for disposal.
- Ensure safe & secure storage of items (especially valuable / sensitive equipment), compliance with security, fire & safety norms, access control, housekeeping of store room.
- Liaise with Purchase/Procurement, Finance/Accounts, Maintenance/Operations departments to ensure timely supply and cost control.
- Handle transfer of assets or materials (inter-department or inter-campus) ensuring proper documentation and approvals.
- Prepare periodic reports (daily/weekly/monthly) on stock levels, material consumption, non-moving items, stock ageing, scrap/obsolescence.
- Supervise store assistants/clerks, assign duties, monitor performance, ensure discipline, training and adherence to processes.
- Implement and maintain store policies and procedures: documentation standards, inbound/outbound process, internal audit readiness.
- Support internal & external audits of stores/inventory, ensure readiness for inspections and correct response to audit findings.
- Work closely with the Facilities and Accounts team to ensure that materials required for campus operations (civil, electrical, mechanical, sanitary) are available when needed.
