Role: Logistics & Operations Executive

Role Overview

The Logistics & Operations Executive will manage end-to-end shoot logistics while also handling accurate data entry and operational tracking. This role is critical to ensuring smooth execution of weddings and events, from planning and coordination to documentation and post-shoot follow-ups.

Key Responsibilities

Logistics & Coordination

  • Plan and coordinate logistics for weddings, shoots, and events (local & outstation)
  • Arrange travel, accommodation, and local transport for photographers and videographers
  • Manage dispatch, tracking, and return of photography and video equipment
  • Prepare and share detailed shoot schedules and itineraries with teams
  • Coordinate with clients, vendors, and internal teams for shoot requirements
  • Handle last-minute changes and on-ground problem-solving during events

Operations & Data Management

  • Enter and maintain accurate client, shoot, and project-related data
  • Update internal trackers for shoots, edits, albums, videos, and deliveries
  • Maintain organized digital folders for raw files, edits, and final outputs
  • Track project timelines, deliverables, and payment milestones
  • Cross-check data for accuracy and ensure timely updates
  • Support post-production and operations teams with documentation and reports

Required Skills & Qualifications

  • 2–4 years experience in logistics, operations, data management, or event coordination
  • Experience in wedding, events, or photography industry preferred
  • Strong organizational and multitasking skills
  • High attention to detail and accuracy
  • Proficiency in Google Sheets / Excel and basic file management systems
  • Good communication and coordination skills
  • Ability to work flexible hours during wedding seasons
