Role & responsibilities
Assist and support patients & visitors as per their needs along with effectively managing of front desk services including registration and outpatient and daycare billing.
Preferred candidate profile
- Welcomes and greets patients and visitors.
- Enquires politely on the reason for visit and ensures patient is properly guided.
- Upon new patient arrival, will have to prepare themselves with all materials required for registering the patient, such as the outpatient file, registration form and general consent.
- Explains the registration process and obtains completed forms from the patient and uploads to the EMR after verifying the forms for completeness. Patient photo is also uploaded into the record.
- Captures patient source information during registration based on the set guidelines.
- Schedules patient appointments.
- Tracks patient at all times through outpatient process and follows up to ensure the optimal patient wait times.
- Captures patient each step of the patients workflows in the OPD tracker for follow-up and closure of the patient processes including consultation, investigations, diagnosis, staging, through start of treatment.
- Responsible for handing over the patient to nursing for intake process.
- Keeps patient appointments on schedule by notifying clinician of patient's arrival, reviewing service delivery compared to schedule, and alerting clinicians of service delays.
- Comforts patients by anticipating patients' anxieties, answering patient questions, coordinating with other departments and escalating any patient issues as necessary to ensure resolution.
- Ensures all front office related EMR entries are completed, and that patient follow up schedule is entered prior to patient checkout after completion of the visit.
- Responsible for orienting the patient /attendant during the first visit of the various departments and services along with locations to facilitate easy access during the next visit.
- Knowledgeable about and prepared to answer questions about services and direct the patient / attenders to the relevant person for any queries.
- Bill outpatient services and direct patient to the service area.
- Responsible for collecting and securing the payment obtained from the patient according to the billing done.
- Responsible for reconciling and depositing the cash on same day after his / her shift to the accounts department along with the system report.
- Stocks outpatient areas with the required stationery and supplies.
- Protects patients' rights by maintaining confidentiality of medical, personal, and financial information.
- Maintains operations by following policies and procedures and reporting any required changes.
- Follow up on pending investigations and reports.
- Tracks and ensures calls are returned / queries are addressed using the EPABX tracker / telephone log.
- Coordinate with the admission desk for all admissions and transfer in / out of patients.
- Contributes to team effort by accomplishing related results as needed.
- Meet every patient and collect feedback for outpatient, daycare, and IP (as applicable), immediately address any issues in coordination with the respective departments and to communicate back to the patient party regarding resolution.
- Collect reports of insurance patients and hand over to the billing department.
