Our operations span product development, online sales, retail transactions, and logistics, all of which require tight financial control and precise cost tracking.

As we grow, we're seeking a proactive and analytical Cost & Operations Accountant with strong Xero expertise to take charge of auditing, reconciliation, cost analysis, and reporting across the brand's financial ecosystem.

Role Overview

This role demands more than just basic accounting. You'll work closely with the leadership team to audit product costs, store operations, online refund flows, postage bills, payroll accuracy, and financial reconciliations in Xero. You'll act as the financial watchdog—spotting inefficiencies, flagging leakages, and improving financial accuracy at every level.

Key Responsibilities

Xero Accounting & Reconciliation

● Perform accurate daily, weekly, and monthly bank reconciliations in Xero.

● Manage and reconcile accounts payable and receivable, including handling refunds, credit notes, and overpayments.

● Monitor and maintain the general ledger with accurate entries, tracking journal entries and adjustments where required.

● Generate real-time financial reports, such as P&L, Balance Sheet, Aged Receivables/Payables, and GST summaries.

Cost Auditing & Analysis

● Track and audit costs for product creation (materials, embellishments, packaging, etc.).

● Maintain detailed cost sheets per product/category and ensure accurate margin tracking.

● Analyse spend across categories and flag unexpected cost increases or leakages.

Store & E-Commerce Financial Audits

● Review store-level financials including POS reports, refund activity, and staff discounts.

● Audit online transaction logs, including Afterpay/Shopify payment reconciliation and refund flows.

● Cross-check courier/postage charges with order dispatch logs to flag overcharges or misclaims.

Roster & Payroll Oversight

● Audit timesheets and rosters submitted by retail teams, matching them against payroll payouts.

● Highlight inefficiencies in staffing hours or repeated overtime issues.

Reporting & Recommendations

● Prepare monthly internal audit reports summarising:

○ Discrepancies

○ Potential risks

○ Cost-saving opportunities

○ Suggested improvements in internal control systems

Required Skills & Qualifications

● Bachelor's degree in Accounting, Finance, or Commerce (CA Inter/CPA preferred).

● Minimum 3–5 years of accounting or cost auditing experience, preferably in fashion, retail, or e-commerce.

● Strong hands-on experience using Xero is essential — including bank feeds, reconciliation, credit notes, invoicing, and reporting.

● Advanced Excel/Google Sheets skills for cost modeling, audits, and reports.

● Familiarity with platforms such as Shopify, POS systems, and courier dashboards (Australia Post, DHL, etc.) is highly desirable.

● Excellent attention to detail, strong analytical thinking, and a proactive, problem-solving mindset.

● Comfortable working remotely and independently, with excellent communication and follow-up discipline.
