Trainee Medical Office Associate

1. Educational qualifications required: Any life science graduate (BDS/BPharm/BAMS/BHMS/BSc. Nursing/BSc. Biotech, etc)

2. Reporting location: Bengaluru or Hyderabad, based on vacancies availability.

3. Work Location: Office-based 
   
   Note: An employee may request the option to work from home once they are fully trained and have received approval from the client (not all clients approve work from home, though) regarding the quality of their work. However, it is ultimately the company and client's decision whether to allow an employee to work from home.

4. Work timings: US Day shift, i.e., Indian night shift, and shift time depends on the client's time zone in the US.

5. Prior experience/Skillsets required:
   
   a. Previous experience in a healthcare setting or related role is advantageous, but not a must.
   
   b. Typing Speed of at least 50 words per minute @95% accuracy.
   
   c. Excellent verbal and written English communication skills.
   
   d. Strong multitasking skills, time management, and target-achieving skills.
   
   e. Ability to convey information effectively to patients and healthcare professionals.
   
   f. Empathy and patience when interacting with patients.
   
   g. Ability to handle patient inquiries and concerns professionally.
   
   h. Experience with Electronic Health Records (EHR) or willingness to learn.
   
   i. Strong attention to detail and accuracy in documentation.
   
   j. Competency in necessary computer skills, including Microsoft Word, PowerPoint, Internet, and Excel.

6. Training program highlights:
   
   a. On-the-job training (OJT): 3-4 months of OJT. Post training, an assessment would be conducted. Upon successful completion of the training and positive feedback from the client, the candidate shall be promoted to the Medical Office Associate role.
   
   b. No leaves will be entertained during the training period.
   
   c. Trainee RMA shall adhere to the shift schedules shared by the reporting manager. He/She shall not take any unscheduled breaks.
   
   d. Shall get trained on all the processes within the Virtual Medical Office Services (VMOS) department.

7. Roles and Responsibilities of Medical Office Associate:
   
   a. Submit, monitor, and document prior authorization requests to ensure timely approval for patient procedures, medications, and specialty consults.
   
   b. Manage the referral process by scheduling appointments, forwarding necessary information, and following up to ensure completion.
   
   c. Track, schedule, and ensure the timely processing of diagnostic imaging orders, including result management.
   
   d. Schedule follow-up appointments for patients post-emergency room discharge or care transitions and document all related activities.
   
   e. Coordinate surgery dates, communicate with patients, and ensure all preoperative requirements are met.
   
   f. Prepare and review patient charts to ensure all necessary documentation is complete and accurate before appointments or procedures.
   
   g. Monitor, sort, and distribute incoming faxes, ensuring proper documentation and resolution of issues.
   
   h. Conduct follow-up calls with patients and insurance providers, documenting interactions and resolving issues as needed.
   
   i. Navigate through payer portals and downloading member lists, verifying insurance eligibility before the patient's appointment.
   
   j. Analyze various patient lists to identify patients in need of various preventative measures.
   
   k. Document all interactions taken in the EHR or client's software.
   
   l. Follow-up with and contact patients admitted as inpatients to local hospital facilities to schedule subsequent follow-care visits with the Client's providers.
   
   m. Secure and enter inpatient data from hospital sources (Websites/portals – if available) faxes, emails, patient referrals into the EMR.
   
   n. Creates patient engagement letters, physician phone calls, reminders, status updates.
   
   o. Extensively pre-chart for the upcoming patient visit based on the provider's preference before the patient is seen.
   
   p. Assist in patient and facility coordination.
   
   q. Assist in coordinating with various facilities to extract patient records.
   
   r. Assist in scanning and uploading relevant patient documents as requested by client.
   
   s. Assist physician/facility with any other administrative/clerical tasks.

9. Salary Offered - A stipend of 25,000 (CTC) will be provided during the training period. Upon successful completion of training and assessment, the monthly CTC will be revised to 45,000

10. Additional Perks:
    
    a. Medical insurance of 4 lakhs per annum. Coverage is for self, spouse, and 2 children under 25 years of age. This component cannot be reimbursed.
    
    b. Group Personal Accident Policy coverage for the employee with payment of 5 years' CTC in case of death of the employee in an accident.
    
    c. Office-based employees shall be eligible for complimentary canteen facilities. Cost of this facility is NOT shown under CTC for office-based employees and cannot be reimbursed.
    
    d. Cab facility:-
    
    • Every office-based employee is eligible for company transportation.
    
    • Rs. 2000 shall be reimbursed to male employees who opt for their own transportation when working from office.
    
    • Female employees with their own car or female employees whose spouse is also working with us and have their own vehicle only can opt for own transportation and will be eligible for Rs. 2000 as transport reimbursement.
    
    • Cost of this facility is NOT shown under CTC for office-based employees.
