ob Description – Executive Assistant

Job Purpose:
Enhances the effectiveness of the Head – MYP by providing comprehensive administrative and information management support and representing the Head – MYP to internal and external stakeholders.

Reports to: Head – MYP
Main Working Relationships: HODs, Teachers, Students

Key Responsibilities:

  • Produce and manage information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

  • Manage the day-to-day operations and workflow of the Head – MYP's office.

  • Maintain the appointment schedule by planning and organizing meetings, conferences, teleconferences, and travel.

  • Organize and maintain files and records; manage projects and conduct research as required.

  • Prepare, edit, and analyze correspondence, reports, and presentations.

  • Collect and analyze information and initiate communications as directed.

  • Represent the Head – MYP by attending meetings in their absence and, when required, communicating on their behalf.

  • Welcome guests and parents by greeting them in person or over the phone; answer or redirect inquiries appropriately.

  • Maintain confidentiality and protect sensitive information at all times.

  • Complete projects by assigning work to relevant staff and following up on deliverables.

  • Secure data and information by ensuring regular database backups.

  • Provide historical reference by developing and maintaining filing and retrieval systems and recording meeting discussions.

  • Maintain professional and technical knowledge by attending workshops, reviewing publications, and participating in professional networks.

  • Contribute to team efforts by accomplishing related results as needed.

Skills and Qualifications:

  • Excellent writing, reporting, and presentation skills

  • Strong scheduling and organizational abilities

  • Proficiency in Microsoft Office Suite

  • Effective time management and attention to detail

  • Strong verbal and interpersonal communication skills

  • Experience managing travel logistics

Education and Experience:

  • Bachelor's degree required (Master's preferred)

  • Prior administrative experience, preferably within an IB school environment
