  1. Regulatory and NABH Compliance

  2. Ensure pharmacy operations align with NABH standards and local drug laws (Drugs and Cosmetics Act, NDPS Act, etc.).

  3. Maintain and update all Standard Operating Procedures (SOPs) as per NABH requirements.
  4. Ensure proper licensing and documentation are current and displayed.

  5. Inventory and Medication Management

  6. Oversee procurement, storage, and distribution of medications and medical consumables.

  7. Implement protocols for stock rotation (FIFO), expiry checks, and disposal of expired/unused medications.
  8. Ensure availability of emergency and essential medicines.
  9. Prevent overstocking and understocking to balance costs and availability.

  10. Patient Safety and Medication Use

  11. Monitor safe medication practices including prescription, transcription, dispensing, and administration.

  12. Coordinate Medication Error Reporting and analysis for corrective and preventive action (CAPA).
  13. Oversee high-risk medication management and look-alike/sound-alike (LASA) drug protocols.
  14. Ensure availability and timely dispensing of medications to patients.
  15. Address patient queries and complaints related to pharmacy services promptly.

  16. Quality and Audits

  17. Conduct and document internal audits of pharmacy operations.

  18. Implement feedback mechanisms to evaluate patient satisfaction.
  19. Conduct customer service training for pharmacy staff.
  20. Participate in quality indicator tracking, provide data for KPI, Root Cause Analysis (RCA), Corrective and Preventive Action (CAPA) and Continuous Quality Improvement (CQI).

  21. Team Management and Training

  22. Supervise and evaluate performance of pharmacy staff.

  23. Foster a culture of safety, accountability, and professional development.
  24. Assign duties, manage shifts, and evaluate performance of pharmacists and assistants.
  25. Team wellbeing which includes, Rota, Leave, etc.
  26. Conduct regular training programs on NABH standards, infection control, and medication safety.
  27. Assess and document staff competencies periodically.
  28. Conduct weekly, monthly review meetings and performance discussions.

  29. Clinical and Interdepartmental Coordination

  30. Work with clinicians and nursing staff to ensure rational drug use.

  31. Participate in the Pharmacy and Therapeutics Committee (PTC).
  32. Provide input on formularies, drug policies, and cost-effectiveness strategies.
  33. Collaborate with clinical and nursing staff to ensure accurate and timely medication delivery.
  34. Support clinical decisions with drug information and alternatives.

  35. Documentation and Record-Keeping

  36. Ensure accurate record-keeping of dispensing, returns, controlled drugs, etc.

  37. Maintain drug registers, indents, inventory records, and audit logs as per NABH guidelines.

  38. Handling Narcotic and Psychotropic Substances

  39. Ensure strict control and documentation of narcotic drugs as per NDPS regulations.

  40. Conduct periodic stock checks and reconciliation with logs.

  41. Budgeting & Cost Control

  42. Prepare and monitor the annual pharmacy budget.

  43. Control drug procurement costs through vendor negotiation and formulary management.
  44. Monitor and minimize wastage, pilferage, and expiry-related losses.

  45. Revenue Monitoring

  46. Ensure accurate billing and reconciliation of cash, credit, and insurance patients.

  47. Track profitability of pharmacy operations, including inpatient, outpatient, and surgical stores.

  48. Operations Management

  49. Supervise daily pharmacy operations - procurement, storage, dispensing, and documentation.

  50. Ensure compliance with NABH SOPs and protocols.
  51. Maintain separate storage for high-risk, LASA, and refrigerated medications.

  52. Legal & Regulatory Compliance

  53. Ensure pharmacy complies with Drugs and Cosmetics Act, NDPS Act, and other laws.

  54. Monitor drug license renewals, narcotic registers, and barcoding practices.

  55. IT and Automation

  56. Supervise functioning of Hospital Information System (HIS) related to pharmacy.

  57. Support automation, e-prescriptions, barcode scanning for medication safety.

Qualifications & Skills:

  • Education: A bachelors degree in pharmacy + masters degree in Pharmacy or Hospital Administration
  • Experience: Proven experience and understanding of hospital pharmacy services for 6+ years and should have minimum of 2 years of experience in Supervisory Level.
  • Communication Skills: Strong interpersonal skills to engage with customers effectively.
  • CRM Proficiency: Familiarity with Hospital Pharmacy HIS tools to track leads, sales, and client data.
  • Analytical Skills: Ability to analyse pharmacy sales data, identify trends, and work on strategies accordingly.
  • Candidate should possess exceptional communication skills Written [English + Kannada] and Verbal [ Kannada + English + Hindi + Tamil + Telugu].
