Key Responsibilities:

1. Billing & Invoicing

  • Prepare and issue invoices to customers (corporate and individual) as per approved job files and supporting documents.
  • Verify job costing, purchase orders (POs), and approvals before invoice generation.
  • Ensure invoices comply with GST and company accounting standards.
  • Maintain a billing tracker for domestic, international, and corporate accounts.

2. Accounts Receivables Management

  • Monitor outstanding payments and ensure timely collection from customers and agents.
  • Follow up on overdue invoices through calls, emails, and coordination with sales/operations teams.
  • Record receipts and reconcile with customer ledgers.
  • Prepare AR aging reports and share periodic collection status with management.

3. Documentation & Compliance

  • Ensure all invoices are supported with proper job documentation (delivery note, acknowledgment, etc.).
  • Maintain records for GST, credit notes, and debit notes.
  • Support internal and external audit requirements.

4. Coordination

  • Liaise with corporate clients for invoice submission and payment updates.
  • Coordinate with operations for job completion status and billing accuracy.
  • Collaborate with sales and finance teams to resolve billing disputes or short payments.

5. Reporting

  • Prepare weekly and monthly AR reports (aging, collection summary, pending billing, etc.).
  • Highlight long outstanding cases and support management in collection strategy.

Key Skills & Competencies:

  • Strong knowledge of Accounts Receivables and Billing process
  • Good understanding of GST, TDS, and Credit Note processes
  • Proficiency in MS Excel, Tally, or ERP software
  • Attention to detail and accuracy in documentation
  • Strong follow-up and communication skills
  • Ability to coordinate across departments and clients
