Job Description:
The job of an Executive Assistant (EA) to a Joint Managing Director (JMD) Commercial involves providing high-level administrative, strategic, and commercial support to ensure the executive's time is maximized for core business functions. The "Commercial" aspect of the JMD's role means the EA will be heavily involved in supporting functions related to sales, business development, client relations, and market analysis. 
 
Core Responsibilities
  • Calendar and Schedule Management: Efficiently manage a complex and dynamic calendar, including scheduling meetings, appointments, and blocking time for focused work. Assess the priority of appointments and reallocate as necessary.
  • Communication Management: Act as the primary point of contact and a gatekeeper between the JMD and internal/external stakeholders (clients, vendors, staff). Screen calls, emails, and correspondence, drafting responses where possible and prioritizing items requiring the JMD's personal attention.
  • Travel and Logistics: Coordinate all aspects of domestic and international travel, including flights, accommodation, transportation, and detailed itineraries. Manage and process expense reports.
  • Meeting Coordination and Documentation: Plan, organize, and coordinate meetings (internal, external, board, client meetings). This includes preparing agendas, compiling briefing materials and presentations, taking notes/minutes, tracking action points, and ensuring timely follow-ups.
  • Commercial and Business Support: Assist the JMD with commercial operations, which may include conducting market research, analyzing data, preparing commercial proposals, and tracking project progress.
  • Project Management: Support or manage special initiatives and projects as directed by the JMD, coordinating with various departments to ensure alignment with business goals and timely execution.
  • Information and Data Management: Handle a high volume of confidential and sensitive information with the highest degree of discretion and integrity. Maintain organized and efficient filing and records management systems.
  • Relationship Management: Develop and maintain professional relationships with key clients, partners, and internal senior leadership on behalf of the JMD. 
 
Key Skills and Qualifications
  • Experience: Proven experience (typically 4+ years) as an Executive Assistant supporting C-suite or senior management, ideally within a commercial or related industry.
  • Communication: Exceptional written and verbal communication skills, with a professional demeanor when interacting at all levels.
  • Technical Proficiency: High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and an aptitude for learning new software and productivity tools.
  • Organizational & Time Management: Strong organizational, time-management, and problem-solving abilities, with the capacity to multitask and prioritize effectively in a fast-paced environment.
  • Confidentiality & Discretion: Utmost professionalism and the ability to exercise discretion when handling sensitive information.
  • Proactivity & Adaptability: Ability to anticipate needs, work independently, adapt to changing priorities, and be a proactive problem solver.
  • Commercial Acumen: A good understanding of commercial processes, business strategies, and performance metrics may be required. 
The EA acts as a strategic business partner, ensuring the JMD can focus on high-value, strategic decision-making and business growth.
