Job Overview
:
The Project Coordinator will support the team in overseeing daily project operations, managing communication, and ensuring timely execution of project tasks. This role is responsible for organizing resources, coordinating activities, and providing administrative support to ensure projects are delivered on time, within scope, and within budget.
Key Responsibilities
:
Timesheet Management:
- Collect, track, and validate timesheets from all project team members.
- Ensure timely submission of timesheets for accurate resource allocation and project billing.
Laptop Management:
- Coordinate with the IT department to ensure team members have necessary hardware (e.g., laptops) and Interview setups.
- Track equipment allocation, distribution, and return during onboarding and offboarding processes.
Interview Coordination:
- Schedule interviews with candidates and coordinate with relevant stakeholders, including hiring managers and team members.
- Manage interview calendars, follow-up communication, and interview-related documentation
.
Onboarding / Offboarding:
- Support the onboarding of new team members, including gathering necessary paperwork and resources (e.g., access to tools, training sessions).
- Manage the offboarding process for team members leaving the project or organization, ensuring proper documentation, equipment returns, and deactivating access to systems.
Training Coordination:
- Plan and coordinate project-specific training sessions, ensuring all team members are up to date with relevant tools and methodologies.
- Track attendance and completion of required training programs for all staff.
Project Communication:
- Act as the primary point of contact for day-to-day communication between project teams, stakeholders, and clients.
- Prepare and distribute regular project status reports, meeting minutes, and updates to all relevant parties.
Interest in Tools:
- Stay informed about project management and collaboration tools to improve team efficiency.
- Manage the implementation and training of new tools or software within the project environment, including tools such as JIRA, Figma, Slack, Zoom and Microsoft Teams.
Skills & Qualifications
:
- Bachelor's degree in Business, Project Management, or related field.
- Proficient with project management tools (e.g., JIRA, Microsoft Teams) and communication platforms.
- Excellent organizational, multitasking, and time-management skills.
- Strong communication and interpersonal skills.
- Familiarity with onboarding and offboarding processes and IT management.
- Knowledge of time tracking systems and project billing procedures.
- Experience in supporting recruitment or HR processes (interview scheduling, candidate communication).
- Familiarity with IT systems and asset management (laptop setups, software installations).
