Back Office Coordinator

Role & responsibilities
- Coordinate between sales, logistics, and accounts teams for smooth order execution.
- Prepare and maintain sales orders, quotations, and customer correspondence.
- Track and follow up on pending orders, dispatch schedules, and deliveries.
- Support the sales team in preparing tenders, documentation, and presentations.
- Maintain accurate customer records and update CRM systems.
- Assist in generating sales reports, forecasts, and performance analysis.
- Coordinate with customers for documentation, payment follow-ups, and after-sales service.
- Ensure compliance with company sales policies and contract terms.
- Support project managers in planning, scheduling, and tracking project activities.
- Coordinate between site teams, clients, and vendors for project execution.
- Monitor material dispatches, site progress, and documentation status.
- Prepare project reports, MOMs, and update progress trackers.
- Ensure timely submission of drawings, GTPs, and approvals from clients/consultants.
- Follow up on inspection schedules, delivery timelines, and invoicing status.
- Assist in resolving site-related issues through coordination with internal departments.
- Maintain all project-related correspondence and ensure document control
Preferred candidate profile
- Graduate (preferably in Business Administration, Commerce, or related field).
- 24 years of experience in sales coordination and project coordination or execution support.
- Strong communication and customer handling skills.
- Proficient in MS Office (Excel, Word, PowerPoint) and ERP/CRM software.
- Well-organized, detail-oriented, and able to manage multiple priorities.
- Knowledge of project-based sales or industrial sector preferred.
- Diploma or Degree in Engineering (Electrical/Mechanical/Civil preferred).
- Good understanding of project documentation and client communication.
