Core Responsibilities
- Customer Service:
- Greet visitors warmly and professionally, directing them to the right person or department.
- Answer, screen, and forward incoming phone calls, providing information and taking messages.
- Address visitor concerns, requests, and inquiries to ensure a positive experience.
- Administrative Support:
- Manage calendars and schedule appointments for meetings and other events.
- Receive, sort, and distribute incoming mail and packages.
- Maintain visitor logs and prepare access cards if needed.
- Assist with office tasks such as data entry, filing, and photocopying.
- Office Management:
- Keep the reception area clean, tidy, and organized.
- Monitor office supplies and place orders for replacements when necessary.
- Operate office equipment like computers, copiers, and fax machines.
Key Skills
- Communication: Excellent verbal and written communication, with a professional and friendly demeanor.
- Organization & Time Management: The ability to manage multiple tasks and prioritize duties efficiently.
- Multitasking: Handling simultaneous responsibilities, such as answering calls while also directing a visitor.
- Computer Proficiency: Competency in basic office software like Microsoft Word, Excel, and Outlook.
