Role Summary
We are seeking a proactive and highly organized PMO Lead to oversee project governance, delivery tracking, stakeholder communication, and continuous improvement initiatives. This role will lead a cross-functional PMO team, manage governance processes, and ensure alignment with SLAs, tools, and quality benchmarks across client engagements. The position requires a blend of operational excellence, people management, and process optimization skills.
Key Responsibilities
PMO Operations & Governance
- Monitor, control, and report on project performance across multiple engagements.
- Maintain and govern all PMO tools, templates, and processes (e.g., project charter, ticketing system, issue logs, dashboards).
- Ensure adherence to PMO standards, project governance processes, and 100% SLA compliance.
- Set up project/task codes for accurate time logging and determine timesheet submission frequency.
- Maintain project documentation and ensure accuracy, completeness, and timely updates.
- Generate and present regular status and performance reports, including financials, utilization, SLA metrics, and risk/issue logs.
- Identify gaps in project governance and drive process improvement initiatives in collaboration with stakeholders.
- Act as SPOC for asset inventory(laptops, phones) and coordinate renewals of legal documents, contracts, and billing milestones.
- Onboarding process for the new hires to the client facing environment, along with the access management process.
- Set up clear project or task codes for employees to log time against specific activities.
- Determine whether timesheets are submitted weekly and monthly based on the organizations needs.
- Maintain project documentation, ensuring that all necessary records, reports, and documentation are complete and up to date.
- Assist in generating status reports, providing updates on the overall efforts spent on projects.
- Ensure compliance with PMO processes and standards across all projects.
- Identify areas of improvement within project governance and suggest process optimizations.
- Ensure that all risks and issues are addressed and escalated as required.
- When an unexpected issue occurs, the PMO must analyse the root cause, coordinate with stakeholders, and find solutions to keep the project on track.
Team Leadership & Coordination
- Lead and manage the PMO team to ensure smooth delivery of client engagements.
- Plan, track, and review team goals, providing guidance for learning and development.
- Coordinate induction, onboarding/offboarding, and system access for new hires.
- Organize and facilitate regular cross-office meetings between offshore and onshore teams.
- Support administrative needs for internal events, team activities, and training programs.
Client & Stakeholder Management
- Collaborate with client admin/support teams for scheduling reviews, meetings, and bench calls.
- Serve as the liaison between internal teams and client stakeholders for streamlined communication and deliverable tracking.
- Manage expectations by escalating risks and issues in a timely manner, ensuring root cause analysis and resolution plans.
Qualifications
- Bachelors degree in Business, Project Management, or a related field (or equivalent experience).
- 6 to10 years of experience in a PMO or project support role, with at least 1 to 2 years in a leadership capacity.
- Strong understanding of project management methodologies and lifecycle management.
- Proficiency with any one of the project management tools (e.g., MS Project, Jira, Confluence, SharePoint).
- Excellent organizational, time management, and multitasking abilities.
- Strong communication skills (written and verbal) with attention to detail and quality.
- Proficiency in Microsoft Office Suite
