Key Responsibilities:
  1. Pulling the Indents/Datasheets and technical specifications from Engineering to float the enquiries to the supplier within the given timeline.
  2. Work with the engineering team to get the quotes technically validated.
  3. Responsible to coordinate for coordinating technical query closure with Engineering and Quality, along with Suppliers.
  4. Extract open PO Report - Convert PR to PO.
  5. Negotiate with suppliers to obtain the best price (as applicable) and delivery requirements.
  6. Negotiate price, validity, and T&Cs in line with the project specifications.
  7. Communicate with the supplier for PO acknowledgement and confirmation.
  8. Ensure on-time post-order documents collection from a supplier, get approval from internal stakeholders and provide manufacturing clearance to the supplier. Arranging weekly follow-up/status calls with suppliers.
  9. Ensure on-time material availability against the promised delivery date and build plan.
  10. Ensure Test certificates from Suppliers and validation through Quality Engineers before shipment of ordered materials.
  11. Arranging freight and forwarding services to ordered materials.
  12. Internal Stakeholders coordination
  13. Engineering – For pulling Indents, getting Quotes, technical approval/Deviation.
  14. Quality – Approving test Plan, ITP, and Test Certificates
  15. Project – Updating deadlines of each milestone.
  16. Sales/Marketing – Approving budgets
  17. Stores – Timely GRN
  18. Inward Quality – Clearing ordered materials.
  19. PPC / Order Fulfilment- Allocating materials to Projects, Reallocation, and Stock Material utilisation.
  20. Finance – Supplier payment follow-up, Debit and Credit notes resolution from the supplier.
  21. Prepare Daily/monthly/quarterly/annual management reports for own performance and to suppliers.
  22. Escalating supplier specification non-compliance, price, budget, Post Order Document (POD) receipt, POD approval, TPI Inspection issues at the supplier end, delivery issues to the supply chain manager and projects team.
  23. Ensure zero past due dates of each objective deadline and 100% material availability at the plant against the Project plan.
  24. Deliver savings compared to PPV and Budget prices.
Technical Knowledge:
  • Knowledge of handling mechanical products. Experience in Contract Management for Annual rate contracts and Frame agreements. Experience of handling project procurement and defining strategies for the same.
  • Know how knowledge on different commodities like Pumps, Ball, Gate, Globe, check Valves, Accumulators, Oil mist Eliminators, Fans, Blowers, Filters, Heat Exchangers
  • Needs to interact with different companies across the globe.

Supplier Management:
  • Build and maintain supplier relationships and keep up good communications.
  • Handle correspondence for delivery shortages, changes in quantity, delivery dates, prices, etc.
  • Work with suppliers to improve their flexibility to support surge and project orders.
  • New Vendor development, Vendor management, Vendor Audits

Others:
  • Strong negotiation skills, able to handle complex negotiations.
  • Excellent communication skills

  • Excellent time/deadline management
  • Maintain a database for vendors and commodity prices.
  • Knowledge of import-export rules, incoterms, etc.
  • Detailed Knowledge of field instruments in the oil and gas sector will be of advantage.
  • Cross-cultural awareness Daily/Monthly

Experience level:
2-3 Yrs. Diploma/ 2-3 Years BE in Mechanical/ Mechatronics, working on any of the below roles as Supply Chain/ Project Procurement/Design engineering/Application Engineering / Projects.
