About the Role
The People Operations Team is responsible for all the touchpoints of managing the employee lifecycle, including but not limited to offer letters, contracts, benefits, performance management tools, and employee off-boarding with both local laws and company policies. People Operations uses data from employee lifecycle management to improve employee management and effectiveness, ensuring all components of the People Group are using data to drive decision-making. Effective programming within People Operations ensures that employees are seamlessly supported through their employment touchpoints, and that core employment structures and compensation strategies are used effectively to attract and retain high performing employees within the constraints of business operations.
The Officer, People Operations is responsible for supporting specific administrative, operational and quantitative tasks that contribute to attaining the above objectives of the People Operations Team. This role will report to the Manager, People Operations.
What You Will Do
- Payroll Administration: Manages the end-to-end payroll process for all countries, coordinating with external payroll providers in the UK and Netherlands and using ADP for the US. Gathers monthly payroll inputs from each department (e.g. hours, overtime, leave) and ensures timely, accurate processing of salaries and bonuses
- Benefits Management: Administers employee benefits programs across all regions. This includes health insurance enrollments, retirement plans/pensions, and any other perks or allowances. Manages enrollments, changes, and terminations in benefits plans, ensuring accuracy and compliance with local regulations. Ensures we use our brokers tools to provide visibility on benefits through applications.
- Payroll Planning & Data Reporting: Works with Finance to plan and forecast payroll cycles. Prepares payroll reports and audits for management, ensuring any discrepancies are caught early. Maintains detailed payroll records and documentation for auditing purposes and future HRIS integration.
- Vendor Relations: Acts as the point of contact for payroll/benefit vendors (e.g. the outsourced UK/NL payroll firm and ADP in the US). Reviews vendor performance and ensures service level agreements are met. Also coordinates with benefit brokers or insurance companies to negotiate plans that are cost-effective yet competitive for employees.
- Compliance in Compensation: Keeps current on wage and hour laws, minimum wage changes, tax laws, and statutory benefits in each country. Ensures payroll practices align with labor laws and that benefits offerings meet any mandated requirements (such as social insurance contributions or healthcare laws)
- Onboarding: Coordinates the end-to-end onboarding process for new hires globally, working closely with local HR BPs. Prepares offer letters and new hire paperwork, and makes sure all necessary documents (tax forms, contracts, NDAs) are completed. Schedules and oversees a standardized orientation program so every new employee learns about the company's culture, values, and policies
- Offboarding: Manages the offboarding process for departing employees – providing exit checklists to local HR, scheduling exit interviews, and ensuring final pay and benefits are handled correctly
- Day-to-Day HR Administration: Handles routine HR queries and requests from employees and managers, serving as a first point of contact for the People Ops team. For example, answer questions about HR policies, leave balances, or benefit enrollment. Ensures that employee inquiries are addressed promptly and accurately, demonstrating strong internal customer service
- Provides guidance to employees about their benefits options and resolves any issues with providers.
- Maintains the HR email inbox or ticketing system and tracks resolution of issues.
What You Should Have
- Bachelor's degree from a reputable university.
- Minimum 4 years of full-time work experience after graduation from your undergraduate degree.
- Knowledge and understanding of Global Payroll and Benefits management, including compliances related to those.
- Strong adherence to systems and process.
- Experience working with a culturally and socioeconomically diverse workforce.
- Excellent email, Excel /spreadsheet, MS Word/word processing skills ; technologically competent/quick learner.
- Outstanding written and verbal communication skills.
- High energy and enthusiasm level; willingness to do whatever necessary to get the job done.
- Experience in a challenging, dynamic and complex business environment.
