Role Summary
The Sales Coordinator plays a vital support role within the films business, providing administrative, analytical, and operational assistance to the sales team across zones. The position ensures smooth execution of sales processes, from order management to customer communication, while maintaining accurate documentation and coordinating with internal departments such as production, logistics, accounts, and supply chain.
The role requires excellent coordination, attention to detail, and communication skills, ensuring efficient back-end support that enables the sales team to focus on business development and customer engagement.
Key Responsibilities
Sales Operations Support
• Coordinate the complete sales order cycle from order receipt and entry to dispatch and invoicing.- • Liaise with customers to confirm order details, delivery timelines, and documentation requirements.
- • Follow up with internal departments (production, logistics, dispatch) to ensure timely order fulfillment.
- • Maintain and update the sales order tracking system / ERP (SAP / CRM / Tally etc.).
• Support the Country Manager and Area Sales Managers with order pipeline visibility and status updates.Documentation & Reporting
• Prepare and circulate daily / weekly / monthly sales reports (order intake, dispatch status, pending deliveries, etc.).- • Maintain accurate records of quotations, sales orders, delivery challans, and invoices.
- • Coordinate preparation of customer-related documentation such as proforma invoices, price lists, and credit notes.
- • Assist in maintaining customer master data, sales history, and pricing records.
• Provide data analytics support for management reviews and performance tracking.Customer Communication & Service
• Act as the first point of contact for routine customer queries related to order status, delivery schedules, and documentation.- • Coordinate customer complaint handling by routing issues to the relevant departments and ensuring timely closure.
- • Support sales representatives in scheduling customer meetings, follow-ups, and feedback collection.
• Build positive relationships with customers through proactive communication and service orientation.Coordination with Cross-Functional Teams
• Work closely with logistics and warehouse teams to ensure accurate dispatch planning.- • Coordinate with finance and accounts for billing, payments, credit limit monitoring, and receivable tracking.
- • Support marketing and product management in launching new products or promotional activities by handling communication, samples, and logistics.
• Collaborate with technical / R&D teams for customer trials and feedback documentation.Process & Compliance
• Ensure all orders comply with company policies, pricing guidelines, and documentation standards.- • Assist in implementation of internal controls and audit requirements.
- • Maintain confidentiality of commercial data, pricing, and strategic information.
- • Support digitalization and automation initiatives in the sales process (CRM, ERP enhancements).
Qualifications & Experience
- • Graduate in Commerce / Business Administration / Supply Chain / Engineering.
- • 3–7 years of experience in sales coordination, customer service, or commercial support, preferably in films, polymers, packaging, or industrial B2B sector.
- • Working knowledge of ERP / CRM systems (SAP, Oracle, Tally, Zoho, etc.).
- • Strong proficiency in MS Excel, PowerPoint, and report preparation.
- • Good communication and interpersonal skills to interact with customers and internal teams.
- • Detail-oriented, organized, and capable of handling multiple priorities in a fast-paced environment.
