We are seeking a proactive and detail-oriented PMO Specialist to join our Product R&D unit. The PMO Specialist will play a critical role in ensuring the smooth operation and alignment of processes, methodologies, and resources within the unit. This position requires strong organizational, analytical, and communication skills to support the team's efficiency and success. 

Job Title: Business Operations Specialist – NI Product R&D

Job Description:

We are seeking a proactive and detail-oriented Business Operations Specialist to support the business and operational governance of our Product R&D unit. This role will play a critical role in ensuring the smooth operation and alignment of the unit. The ideal candidate is highly organized, analytical, and an excellent communicator, supporting the team's efficiency and success.

Key Responsibilities:

1. Workforce Allocation & Utilization:

o  Monitor workforce allocations and utilization across various work lanes.

o  Identify resource bottlenecks, underutilization, or workload imbalances and recommend adjustments.

o  Collaborate with different organization stakeholders to optimize resource distribution and ensure alignment with organization priorities.

1. Budget Ownership & Financial Governance:

• Own and manage unit-level budget.
• Support annual budget planning, forecasting, and ongoing cost control.
• Monitor budget execution, identify variances, and propose corrective actions.
• Provide financial insights to unit leadership to support decision-making.

1. Time Reporting Management:

o  Track and manage time reporting data to ensure accurate and timely submissions.

o  Analyze time reports to identify trends, bottlenecks, or discrepancies.

o  Support team leads in addressing time reporting issues and improving time management practices.

1. Process & Methodology Enforcement:

o  Monitor compliance with the unit's processes and methodologies.

o  Provide guidance and support to team members to ensure adherence to established practices.

1. Stakeholder Collaboration:

o  Act as the central point of contact for process-related queries within the unit.

o  Collaborate with engineers, project managers and leadership to ensure alignment with organizational objectives.

o  Organize and facilitate reviews, meetings, and workshops to discuss and refine processes.

Qualifications:

·      Bachelor's degree in industrial engineering or a related field.

·      3–5 years of experience as a PMO or business operations specialist in a global company.

·      Experience in business operations, controlling, or operational analytics in a Product or R&D environment.

·      Quick learner with excellent analytical and organizational skills.

·      Excellent verbal and written communication skills

·      Strong interpersonal and communication abilities.

·      Proficiency in data tools (e.g., Excel, Power BI, Tableau) and platforms like Jira, Confluence, or Salesforce.

• ·      Experience in time reporting systems (e.g., OTLs) and workforce optimization.
