Ravi Vazirani Design Studio (RVDS) is a luxury interior design practice known for its refined aesthetic and attention to detail. We are looking for a Studio Operations & Executive Assistant to support our founder and ensure smooth day-to-day functioning of the studio.

Role Overview

This role combines studio operations with executive assistance. The ideal candidate will be highly organized, proactive, and comfortable working in a fast-paced creative environment.

Location: Bandra (W), Mumbai

Job Type: Full-time, Permanent

Working Hours: 10:30 AM – 7:30 PM, Monday to Saturday

Supplemental Pay: Yearly Bonus

About the Role:

We're seeking a highly organized and efficient Studio Operations and Executive Assistant to support the Principal Designer and manage the daily operations of our vibrant, fast-paced design studio. This role is a perfect blend of executive support, project coordination, studio upkeep, and lifestyle management.

You will play a key role in keeping the team on track with deliverables by maintaining and monitoring minutes of meetings (MoMs) and following up with designers to ensure timely execution of all client and project expectations.

Key Responsibilities:

1. Executive Support & Calendar Management

· Manage the Principal Designer's email, calendar, appointments, and daily priorities.

· Schedule meetings, coordinate logistics, and handle professional communication.

· Prepare reports, documents, and presentations as required.

· Track and remind the Principal Designer of project deliverables based on MoMs from meetings (client/vendor/site/internal).

· Maintain and follow up on task lists and timelines to ensure nothing falls through the cracks.

2. Studio Operations & Upkeep

· Oversee the cleanliness, organization, and smooth functioning of the studio.

· Maintain digital and physical filing systems for easy access to documentation.

· Ensure inventory of studio supplies and materials is well-maintained.

· Liaise with team members and support staff to handle day-to-day operations.

· Coordinate maintenance and repairs at both studio and residential premises.

· Assist in organizing, decluttering, and beautifying the workspace.

3. Travel & Logistics

· Manage end-to-end travel bookings for both personal and professional requirements (flights, hotels, transport).

· Create travel itineraries, assist with visas, passports, and other travel documents.

· Coordinate airport pickups, rental cars, and travel support.

4. Communication & Liaison

· Act as the point of contact between the Principal Designer and external parties.

· Screen and prioritize messages, emails, and calls.

· Ensure timely and professional communication with clients, vendors, and collaborators.

5. Lifestyle & Personal Errands

· Coordinate personal appointments, such as salon, doctor, or wellness bookings.

· Support in scheduling family and personal time commitments.

6. Deliverables Monitoring & Team Coordination

· Review MoMs for action points and track deliverables across design projects.

· Follow up with relevant team members and send timely reminders for upcoming deadlines.

· Maintain an internal dashboard or system to track progress on each project task.

· Act as a gentle accountability partner for the design team to ensure consistent output.

7. Basic HR & Team Engagement

· Track daily attendance and leave records for the team.

· Assist in organizing studio events, celebrations, birthdays, and team-building activities.

· Coordinate with vendors for event-related logistics and arrangements.

· Support onboarding of new team members by ensuring workspace readiness and basic orientation.

Key Skills Required:

· Strong organizational and time management abilities

· Excellent communication skills (spoken and written English)

· Meticulous attention to detail

· Ability to multitask and work under pressure

· Tech-savvy; proficiency in Microsoft Office, Google Workspace, Zoom, Dropbox, and CRM tools

· Comfortable managing both studio operations and executive support duties

· Proactive and professional demeanor

Requirements:

· 3–4 years of relevant experience in studio administration, executive assistance, or operations

· Bachelor's degree (preferred)

· Prior experience in a design or creative environment (a plus)

· Reliable, trustworthy, and discreet with confidential information

· Excellent interpersonal skills and a problem-solving mindset
