The Souled Store is a homegrown youth casual-wear brand started in 2013. We are one of India's largest online merchandising platforms with licenses like Disney, Warner Bros., WWE, IPL, Viacom18 to name a few. Apart from selling products with themed designs such as superheroes, movies, TV shows, and cartoons, the brand also is at the forefront of the latest youth style and fashion trends. In addition to core men and women wear apparel categories, we are also in the process of expanding to new categories and introducing new product lines in the existing categories like activewear, supima products, innerwear, personal care products like perfumes and very recently launched footwear and kidswear.

Although we are primarily an online brand, we've expanded in the offline retail space as well and have 40 offline stores and further expansion in pan India.

About the Role:

We are looking for a detail-oriented and proactive Data & Sample Management Executive to join our team. The ideal candidate will be responsible for managing product data, tracking samples, maintaining accurate product trackers, and ensuring timely follow-ups with internal teams and vendors. This role requires strong analytical, coordination, and Excel/Google Sheets skills to keep all product information organized and up to date.

Key Responsibilities:

Data & Tracker Management:

● Maintain and update product trackers for all styles, samples, and developments.

● Ensure accuracy and completeness of product data (style numbers, fabric details, trims, costing, etc.).

● Create and manage Excel and Google Sheet dashboards for sample and product status.

● Regularly audit and clean data to ensure all systems are current and aligned.

● Keep a track of samples received from the design dept and timely hand over to the Product development and sourcing teams

● Timely follow ups if samples not received from any department within committed Tats

● Noting down MoMs during all meetings, following up on the completion of those MoMs before next meeting

● Noting down the sample status, cost, qtys and adding pictures in the product tracker sheet bi-weekly during our presentations

● Maintain physical and digital records of all samples with proper tagging and status updates.

● Track sample approvals, rejections, and comments for all collections.

● Follow up with internal teams, vendors, and factories for timely submission of samples and data.

● Communicate updates clearly and ensure all stakeholders are informed of any delays or changes.

Merchandising:

● Prepare daily/weekly merchandising trackers and order status reports.

● Maintain records of buyer communication, costing, and shipment documents.

● Follow up on samples stuck in pipeline, coordinate with scm to understand delays and find solutions for the same

Reporting & Analysis:

● Generate periodic reports for management on sample status, product development timelines, and pending tasks.

● Provide insights and suggest improvements for better data flow and process efficiency.

Key Skills & Requirements:

● Graduate in Fashion Management / Merchandising / Apparel Production / Business or related field.

● 1–3 years of experience in apparel data management, merchandising coordination, or similar roles.

● Strong proficiency in Google Sheets & MS Excel (formulas, pivot tables, dashboards, etc.).

● Excellent organizational and time management skills.

● Strong follow-up skills and attention to detail.

● Ability to multitask and work in a fast-paced fashion environment.

● Good communication and coordination skill
