Job Overview:

Manager – Office of the Managing Director
will serve as a strategic support, ensuring the MD's time, processes, and communication are optimized for maximum organizational impact. This is a
high-responsibility role
requiring discretion, efficiency, professionalism, and the ability to anticipate and manage complex priorities across business and operational functions.

The role will manage confidential information, coordinate high-level meetings, oversee administrative operations related to the MD's office, and serve as a critical liaison between the MD and internal/external stakeholders.

Key Responsibilities

Strategic & Administrative Oversight

  • Support the MD in strategic planning, project tracking, and review of key initiatives across departments.
  • Conduct research and prepare analytical briefs on organizational, partnership, or sectoral topics as required.
  • Coordinate cross-functional communication between departments and ensure timely flow of information.
  • Maintain confidentiality of sensitive business and personnel information at all times.

Stakeholder & External Relations

  • Serve as the primary point of contact between the MD's office and external stakeholders—partners, clients, donors, and government representatives.
  • Ensure professional representation of the MD and the company at meetings, conferences, and formal engagements.
  • Support the MD in managing key relationships and follow-up actions with external partners.

Executive Support & Coordination

  • Manage and maintain the MD's schedule, appointments, and travel arrangements (domestic and international).
  • Prioritize, plan, and coordinate meetings, conferences, and events, ensuring effective follow-up and execution.
  • Prepare briefing materials, presentations, reports, and documentation required for meetings and strategic discussions.
  • Draft and review correspondence, memos, and official communications on behalf of the MD.

Operational Efficiency & Office Management

  • Monitor project and departmental deliverables for the MD's review.
  • Liaise with HR, Finance, and Admin teams to ensure seamless operational support for the MD's directives.
  • Maintain filing systems (digital and physical) for quick retrieval and effective record management.

Qualifications & Experience

  • Graduate/Postgraduate in
    Business Administration, Management, or Communications
    (MBA preferred).
  • Minimum
    3-5 years
    of experience as a
    Manager to the Managing Director
    to C-suite leadership.
  • Exceptional verbal and written communication skills in English; proficiency in Hindi desirable.
  • Strong organizational, multitasking, and prioritization skills with high attention to detail.
  • Proficiency in
    MS Office Suite
    , calendar and task management tools.
  • Ability to handle pressure, maintain discretion, and exercise sound judgment.
