Job description:
We are seeking a proactive and detail-oriented Admin Manager
with over 5+ years of experience in managing administrative operations, facilities, and asset management. The ideal candidate will be responsible for overseeing office administration, procurement, vendor management, fixed assets, and compliance, ensuring efficient day-to-day business operations.
Key Responsibilities:
1. Administrative Management
- Oversee all administrative functions to ensure smooth and efficient business operations.
- Manage day-to-day office operations, maintenance, housekeeping, and security services.
- Supervise office logistics, travel arrangements, accommodation, and transport management.
- Handle vendor and contract management for office facilities, supplies, and services.
- Develop and implement standard operating procedures (SOPs) for administrative processes.
- Ensure compliance with company policies, statutory regulations, and health & safety norms.
2. Asset Management
- Maintain and monitor the
company's asset inventory
including IT equipment, machinery, vehicles, and office infrastructure. - Establish systems for
asset tracking, tagging, lifecycle management, and disposal
. - Coordinate with departments to manage asset procurement, allocation, maintenance, and utilization.
- Conduct
regular audits and verification
of fixed assets to ensure accuracy and compliance. - Maintain detailed asset records in ERP or asset management software.
- Plan and oversee
AMC (Annual Maintenance Contracts)
, service schedules, and warranties. - Support budget planning and cost optimization for asset procurement and maintenance.
3. Procurement & Vendor Management
- Handle vendor sourcing, evaluation, and negotiation for administrative and asset-related needs.
- Ensure timely procurement and delivery of office supplies, IT equipment, and utilities.
- Develop vendor performance metrics and maintain long-term supplier relationships.
4. People & Facility Management
- Lead the admin support team and ensure efficient coordination among departments.
- Manage space allocation, facility setup, and infrastructure planning.
- Coordinate repairs, maintenance, and upgrades to ensure safe and efficient workplaces.
- Support HR and Finance teams in administrative functions like onboarding, attendance, and record-keeping.
5.Reporting & Documentation
- Prepare periodic reports on administrative activities, cost optimization, and asset utilization.
- Maintain documentation for insurance, AMC contracts, licenses, and facility compliance.
- Ensure data accuracy in administrative and asset tracking systems.
Required Skills and Competencies:
- Strong organizational and multitasking abilities.
- Excellent communication, coordination, and negotiation skills.
- Proficient in
MS Office, Google Workspace
, and
asset management or ERP tools
. - Knowledge of
facility operations, vendor management, and asset lifecycle processes
. - Analytical mindset with attention to detail and process improvement.
- Leadership and team management capabilities.
Qualifications:
- Bachelor's or Master's degree in
Business Administration, Operations Management, or related field
. - Minimum
5+ years of experience
in administration, facility management, and asset control. - Experience working in
manufacturing, energy, IT, or engineering industries
preferred. - Familiarity with
ISO standards, safety regulations, and audit requirements
