Job Description:
Key Responsibilities
A. Customer & Visitor Management
First Impression: Greet and welcome all visitors and customers in a professional and friendly manner.
Inquiry Handling: Manage the front office telephone system, answering, screening, and forwarding calls to the appropriate department (Sales, Service, Spares, etc.).
Customer Flow: Direct customers to the relevant staff member (Sales Consultant, Service Advisor) promptly and manage the customer waiting area.
Information: Provide basic and accurate information in person and via phone/email regarding products, services, and general dealership operations.
Record Keeping: Maintain neat and updated records of daily visitors, inquiries, and customer feedback.
Appointments: Assist in scheduling appointments for sales and service departments as required.
Mail & Couriers: Receive, sort, and distribute daily mail, deliveries, and couriers.
Office Presentation: Ensure the reception area and common areas are tidy and presentable at all times.
Data Entry: Assist with basic data entry and clerical duties for various departments.
Inter-Departmental Liaison: Serve as a central point of contact for internal communication, coordinating messages between different teams.
Conflict Resolution: Handle routine customer complaints or issues politely, escalating to a manager when necessary.
Education: High school diploma or equivalent is required.
Experience: Previous experience in a front office, reception, or customer service role, preferably in the automotive industry, is a plus.
Skills:
Excellent verbal and written communication skills.
Professional personal presentation and demeanor.
Proficiency in MS Office Suite and knowledge of basic office equipment.
Strong organizational and multitasking abilities.
Ability to be resourceful and proactive when dealing with issues.
