Position: Editorial Assistant
Reporting to: Editor-in-Chief
Salary Range: INR 35,000-45,000 /per month.
Position Overview
We are seeking a highly organized and detail-oriented Editorial Assistant with a strong background in academic and STM publishing. The Editorial Assistant will support the full editorial workflow, from initial manuscript submission to final editorial decision, and work closely with the Editor-in-Chief (EIC), reviewers, and the production team.
This role involves manuscript screening, coordinating peer review, maintaining adherence to journal policies and SOPs, and ensuring high-quality editorial processing.
Key Responsibilities
1. Manuscript Screening & Initial Checks
- Review newly submitted manuscripts for completeness and compliance with the journal's Author Guidelines and Standard Operating Procedures (SOPs).
- Verify adherence to formatting requirements (structure, references, figures/tables, ethical statements, permissions, etc.).
- Conduct plagiarism checks using approved tools and flag concerns to the EIC.
- Identify scope alignment and notify the EIC regarding suitability for peer review.
2. Editorial Workflow Management
- Manage manuscripts smoothly from submission to decision within the manuscript management system.
- Coordinate with the Editor-in-Chief on manuscript assessment and reviewer recommendations.
- Assist the EIC in assigning suitable peer reviewers based on subject expertise and availability.
- Monitor reviewer invitations, follow up for timely responses, and maintain the reviewer database.
3. Communication & Coordination
- Act as the liaison between authors, reviewers, and the editorial office.
- Communicate required revisions, clarifications, or compliance issues to authors promptly.
- Maintain professional and courteous communication at all times.
4. Quality Control & Ethical Compliance
- Ensure manuscripts comply with publication ethics guidelines (COPE, ICMJE, WAME).
- Flag issues related to authorship, conflicts of interest, or research ethics to the EIC.
- Maintain accurate documentation and ensure cases are processed as per editorial policies.
5. Administrative & Process Support
- Track manuscript progress and update all records regularly.
- Prepare reports, summaries, or updates for the Editor-in-Chief as required.
- Support continuous improvement of editorial workflows, SOPs, and reviewer engagement.
Required Qualifications
- Bachelor's or Master's degree in Life Sciences / Medicine / Allied Health / Publishing / Communications or related field.
- Minimum 1–3 years of experience in academic or STM publishing, preferably in an editorial office.
- Strong understanding of peer review processes, research ethics, and academic writing standards.
- Experience with manuscript management systems (e.g., EditorialAssist, ScholarOne, Editorial Manager, OJS) is preferred.
- Ability to analyze manuscripts for technical quality, structure, and adherence to guidelines.
Skills & Competencies
- Excellent communication and writing skills.
- Strong attention to detail, critical thinking, and organizational skills.
- Ability to manage multiple manuscripts under timelines.
- Familiarity with plagiarism detection tools (e.g., iThenticate).
- Professional, proactive, and disciplined approach to editorial work.
Job Type: Full-time
Pay: ₹35, ₹45,000.00 per month
