Role: Project Management / Exhibitor Liaison (Hybrid)

Department: Project Management

Reports To: Project Director

Job Purpose:
This role requires close coordination with agencies, exhibitors, and internal partners to ensure seamless project delivery, compliance, and client satisfaction. The ideal candidate will have strong organizational, communication, and problem-solving skills with the ability to manage multiple projects and timelines.

Role Profile:
Project Management & Exhibitors' Liaison

  • Liaise with agencies and exhibitors to clarify project requirements, finalize stand design details, and confirm extra orders.
  • Verify detailed designs for structural integrity with design and production team and align them with production feasibility.
  • Shortlist, brief and coordinate all exhibitor requirements with the design, production and operations team ensuring practical, feasible solutions and ensure timely and cost-effective project delivery.
  • Maintain organized records of all communications with clients, exhibitors, and production partners.
  • Route all critical correspondences through the appropriate channels before external communication.
  • Oversee and control all stages of project delivery, ensuring compliance with agency requirements and client expectations.
  • Monitor issuance and signature of NDA, work orders, quotations, billing, and receivables in coordination with the finance team.
  • Supervise quality and quantities in the workshop, delivery during build-up, and ensure client satisfaction throughout exhibition days.
  • Schedule and attend meetings with exhibitors and organizers as required.
  • Maintain strict confidentiality regarding projects, clients, and local partners.

Requirements

  • Bachelor's degree in Architecture, Interior design or similar fields related to structural design and construction.
  • Excellent written and spoken English. Communication with clients and third parties to be handled with tact and confidence.
