A receptionist acts as the first point of contact, greeting visitors, answering phones, and providing a welcoming atmosphere while managing front desk operations and administrative tasks. Key duties include managing correspondence, scheduling appointments, maintaining records, organizing the reception area, and handling mail and deliveries. This role requires excellent customer service, strong communication, organizational skills, and the ability to multitask to ensure smooth daily operations and support overall office efficiency.

Key Responsibilities

  • Visitor & Client Management: Greet guests, check them in, and direct them to the appropriate person or department.
  • Communication: Answer and forward incoming calls, take messages, and respond to general inquiries via phone, email, or in-person.
  • Administrative Support: Perform clerical duties such as filing, photocopying, data entry, and document preparation.
  • Scheduling: Manage calendars, book meeting rooms, and schedule appointments.
  • Mail & Deliveries: Receive, sort, and distribute mail, packages, and deliveries.
  • Office Maintenance: Maintain a tidy and presentable reception area, and monitor and order office supplies.
  • Security: Manage visitor logs, issue access badges, and control entry according to security procedures.
