Dear Candidate,

We are seeking a detail-oriented and analytical Accounts Receivable (AR) Specialist to manage end-to-end AR processes, including Cash Applications, OTC Billings, and Collections. The ideal candidate will play a critical role in ensuring timely application of customer payments, accurate billing, and proactive follow-up for overdue invoices to maintain healthy cash flow.

Key Responsibilities

Cash Applications

  • Apply daily customer payments (checks, wires, ACH, credit cards) to appropriate invoices in the ERP system (e.g., SAP, Oracle, NetSuite).
  • Reconcile unapplied/unidentified payments and resolve discrepancies with internal teams or customers.
  • Monitor lockbox and bank remittances; ensure accurate and timely processing.
  • Investigate short payments, deductions, and overpayments.

OTC Billings

  • Generate and issue accurate customer invoices based on sales orders, contracts, or delivery confirmations.
  • Ensure billing is aligned with customer agreements and internal policies.
  • Maintain billing schedules and recurring invoices.
  • Collaborate with Sales and Customer Service teams to resolve order/invoicing issues.

Collections

  • Proactively contact customers via email/phone regarding overdue invoices.
  • Track and follow up on outstanding accounts to reduce DSO (Days Sales Outstanding).
  • Escalate aging accounts appropriately and assist with credit holds or dispute resolution.
  • Maintain detailed records of customer communications and payment promises.
