Job Summary:

The Purchase Executive is responsible for sourcing and purchasing raw materials, packaging materials, and other necessary supplies for the production of high-quality ice cream. This role involves vendor management, ensuring timely delivery of materials, and maintaining effective inventory control to support production schedules and product quality standards.

Key Responsibilities:

Procurement & Sourcing:

Identify, evaluate, and onboard reliable suppliers for raw materials such as milk, cream, sugar, stabilizers, and flavoring agents.

Negotiate prices, terms, and delivery schedules with suppliers to ensure cost-efficiency and timely supply of materials.

Ensure the procurement of packaging materials such as cartons, tubs, and labels, in line with production requirements.

Vendor Management:

Build and maintain relationships with existing suppliers while actively seeking new suppliers to improve material quality, cost, and supply chain efficiency.

Monitor vendor performance, ensuring that delivery timelines, quality, and payment terms are adhered to.

Handle communication with vendors regarding order confirmations, delivery updates, and any issues related to product quality or shortages.

Inventory Management:

Keep track of raw materials and finished goods inventory to ensure there are no shortages or excess stock.

Conduct regular stock audits to monitor product levels, shelf life, and usage to prevent wastage.

Work closely with the production team to forecast material needs based on production schedules.

Quality Assurance:

Ensure all materials meet company quality standards and food safety regulations.

Collaborate with the quality control team to resolve any discrepancies or issues with material quality.

Cost Control & Budgeting:

Monitor and manage purchase expenses, ensuring the company stays within the approved budget for materials.

Assist in cost-saving initiatives without compromising on the quality or integrity of materials.

Documentation & Reporting:

Maintain accurate records of all purchase orders, invoices, and delivery receipts.

Generate regular procurement reports for management to review stock levels, supplier performance, and purchasing trends.

Compliance & Safety:

Ensure that all purchased materials comply with industry standards, regulatory requirements, and company-specific food safety policies.

Stay updated on any changes in regulations affecting raw materials for ice cream production.

Qualifications and Skills:

Educational Qualifications:

Bachelor's degree

Experience:

2-3 years of experience in a purchasing or procurement role, preferably within the food and beverage industry.

Experience in dealing with food-grade materials and working with suppliers in the ice cream or dairy sector is highly desirable.

Skills:

Strong negotiation skills and the ability to build relationships with suppliers.
