We are seeking a highly organized and proactive Admin Executive to join our team at Vikhroli, Mumbai. The ideal candidate will be responsible for managing office operations, ensuring smooth day-to-day functioning, and providing comprehensive administrative support across departments. This role requires attention to detail, strong communication skills, and the ability to multitask in a dynamic business environment.

Key Responsibilities

  • Correspondence & Communication: Manage all office communications including emails, letters, calls, and courier packages. Ensure timely responses and accurate documentation.
  • Office Operations: Oversee daily office administration, vendor coordination, and ensure facility maintenance as per company standards.
  • Meetings & Events: Organize meetings, conferences, and events, including scheduling, logistics coordination, and preparation of meeting minutes.
  • Employee & Records Management: Maintain accurate employee records, attendance, and leave registers. Ensure timely background verification and documentation compliance.
  • Inventory & Resource Management: Manage office supplies, utilities, and inward/outward logistics while maintaining inventory records.
  • Travel & Expense Management: Coordinate employee travel arrangements, itineraries, advances, and expense reporting.
  • E-commerce & Digital Records: Manage online purchase accounts, track orders, and oversee credentials, directories, and MIS data updates.
  • Compliance & Documentation: Maintain agreements, policy formats, and ensure adherence to AMCs, warranties, and office equipment servicing schedules.
  • Support Functions: Assist HR in recruitment, onboarding, and allocation of assets. Provide cross-departmental administrative support as required.

Candidate Profile

  • Bachelor's degree in Administration, Management, or a related field.
  • Minimum 4–5 years of experience in office administration or a similar role.
  • Strong organizational and time management abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office and familiarity with MIS reporting.
  • Ability to work independently with discretion and handle sensitive information.
