Role Description

This is a full-time, on-site role for an administrative manager based in Chennai. The Administrative Manager will oversee daily office operations, coordinate internal administrative tasks, and ensure efficient workflows. Responsibilities include managing schedules, implementing administrative policies, supervising support staff, coordinating meetings and communication, and managing office resources. The role also involves maintaining records, preparing reports, and ensuring compliance with organisational standards and policies.

Core administrative duties

Supervise staff:

Hire, train, and evaluate administrative employees, and delegate tasks efficiently.

Manage office operations:

Oversee daily administrative functions, including managing office supplies, facilities, and coordinating office activities.

Implement policies:

Develop, review, and improve administrative policies, procedures, and systems to streamline operations.

·
Handle budgets:

Assist in budget preparation, monitor expenses, and ensure adherence to budgetary constraints.

·
Ensure compliance:

Make sure all office operations and administrative tasks comply with company policies and relevant laws. 

Export-specific responsibilities

·
Manage export operations:

Oversee all aspects of the export process, including documentation, shipping, and logistics.

·
Ensure regulatory compliance:

Maintain up-to-date knowledge of and ensure compliance with international trade laws, customs regulations, and tariffs.

·
Handle documentation:

Prepare, review, and manage all necessary export documents, ensuring accuracy and timely submission.

·
Coordinate logistics:

Liaise with freight forwarders, customs brokers, and other partners to schedule and manage shipments efficiently.

Resolve issues:

Act as a point of contact for resolving export-related enquiries and issues with customers and internal teams.

Track performance:

Monitor and report on key performance indicators (KPIs) related to export activities. 

·
Collaborate:

Work with other departments (e.g., sales, finance) to align export strategies with overall business goals.

·
Communicate:

Ensure smooth information flow within the company and manage external communication with authorities, customers, and partners.

Support staff:

Provide training and support to other employees on export processes and compliance requirements.
