Role Summary

The Authoring & Publishing Support Specialist will play a key role in ensuring high-quality publication of research content across multiple formats. Working within the authoring support team, this role combines technical publishing expertise (particularly HTML and formatting) with strong communication and quality assurance skills.

The specialist will support analysts through the research authoring process, troubleshoot issues, and manage more complex Desktop Publishing (DTP) tasks. They will also act as the teams HTML and publishing standards expert, helping to upskill colleagues, enforce consistency in templates/styles, and ensure flawless content delivery across web, PDF, and mobile.

Key Responsibilities

Content Preparation & Support

• Assist analysts in preparing reports for publication using MS Word and in-house plug-ins.
• Troubleshoot and resolve formatting and HTML issues during the publishing process.
• Support the Desktop Publishing (DTP) process for complex reports and HTML-based outputs.

Quality Assurance (QA)

• Perform detailed checks for formatting consistency, broken links, metadata accuracy, and brand compliance.
• Serve as the final check for reports, ensuring they are polished and error-free before release.

Template & Style Management

• Apply, maintain, and improve templates, corporate style guides, and formatting rules in documents.
• Ensure correct use of heading structures, styles, and branding across all published content.
• Manage version control, ensuring analysts and support teams always work from the correct draft.

Cross-Format Awareness

• Ensure content displays correctly across multiple formats (Word, PDF, HTML, web, and mobile).
• Adapt and troubleshoot layout issues when content is converted between formats.
• Understand responsive design principles and ensure accessibility for different devices.

Team Capability Building

• Act as the internal subject matter expert for HTML, formatting, and publishing best practices.
• Train, coach, and upskill team members to improve overall publishing capability.
• Develop and share quick guides, checklists, and reference materials.

Stakeholder Interaction

• Support analysts directly, providing clear and helpful guidance on publishing issues.
• Liaise with IT teams on technical escalations while resolving the majority of publishing issues in-house.
• Communicate technical issues in plain language, building trust and confidence with analysts.

Required Skills & Experience

Experience

• 2-3 years in related domain
• Graduate/ Post-graduate in technical domain
• Ability to work in a fast-paced, tight deadlines, team-based multicultural environment.

Technical Skills

• Proficiency in HTML (editing, troubleshooting, validating).
• Strong MS Word skills, including use of templates, styles, and advanced formatting.
• Experience with document production (DTP) and web publishing workflows.
• Understanding of cross-format publishing (Word PDF HTML web/mobile).
• Familiarity with content management systems (CMS).

Soft Skills

• Excellent communication and interpersonal skills — able to support analysts with patience and clarity.
• Strong attention to detail with a QA mindset.
• Problem-solving approach; able to diagnose and fix formatting or publishing issues quickly.
• Ability to train and mentor colleagues.
• Good time management, able to handle multiple deadlines.

Desirable / Nice-to-Have Skills

• Knowledge of CSS or basic scripting (to extend formatting fixes).
• Experience with web accessibility standards (WCAG basics).
• Familiarity with image editing or desktop publishing tools (InDesign, Photoshop, Illustrator).
• Understanding of analytics/reporting tools for monitoring content engagement.
